HP LaserJet Pro 4001-4004 series - Control-panel-based device setup without cloud onboarding

For IT-administered environments, use the instructions in this document to set up the printer and begin printing without connecting to HP Cloud services.

To set up without HP Easy Start software, connect the printer using a USB or Ethernet cable. Wi-Fi configuration requires setup using HP Easy Start software which is not covered in this document.

Supported printers

The instructions in this document apply only to the Standard printer models listed below. Customers who have purchased HP+ models cannot opt out of the cloud onboarding.

Set up the printer without cloud onboarding

Follow these steps to set up the printer without cloud onboarding.

Note:

During setup, do NOT connect an Ethernet cable until instructed to do so. If you connect an Ethernet cable too soon, it can create an issue during the initial control panel setup.

  1. Unpack the printer:

    1. Select a site to place the printer that meets the following specifications:

      • A sturdy work surface in a well-ventilated and dust-free area, and away from direct sunlight

      • Temperature range: 15° - 27° C59° to 80.6° F

      • Humidity range: 30% - 70%

    2. Allow sufficient space around the printer to open all doors and trays.

      Note:

      The printer weighs 8.9 kg19.6 lb.

    3. Take the printer out of the box and remove all tape and packing material.

      Note:

      HP recommends recycling the packaging materials.

  2. Load paper in Tray 2:

    The following information describes how to load paper into Tray 2.

    Note:

    This tray holds up to 250 sheets of 75 grams per square meter20 lb paper.

    2. Adjust the paper-length and paper-width guides by squeezing the adjustment latches and sliding the guides to the size of paper being used.

      Note:

      If loading legal paper, squeeze the latch behind the front of the tray and pull forward. Tray 2 will extend from the rear of the printer approximately 51 mm2 inches.

    3. Load paper into the tray.

      Note:

      To prevent jams, do not overfill the tray. Make sure the top of the stack is below the tray-full indicator.

    4. Verify that the paper guides lightly touch the stack or paper, but do not bend it.

    5. Close the tray.

  3. Connect the power cable and turn on the printer:

    1. Connect the power cable between the printer and a grounded AC outlet.

      Note:

      To prevent damage to the printer, use only the power cable that is provided with the printer.

    2. Press the Power button to turn on the printer.

      When the printer is powered on, the following text will display on the control panel: hpsmart.com/setup

  4. Set up the control panel:

    Follow these steps to set up the control panel and bypass the "hpsmart.com/setup" message.

    1. On the printer control panel, press the Right arrow button .

    2. When the Languages menu displays, use the arrow button to select the desired language, and then press the OK button.

    3. When the Country/Region menu displays, use the arrow buttons to select your country/region, and then press the OK button.

    4. When "hpsmart.com/setup" displays again, press the Cancel button two (2) times to bypass that message.

    5. When the "Genuine HP Cartridges are installed" message displays, press the OK button.

      The printer will proceed to a Ready state.

  5. Download and install a driver:

    You must install a print driver to enable your computer to communicate with the printer for printing tasks.

    Note:

    If you have already installed a driver, skip to step 6.

    Or, to download and install the HP Universal Print Driver (UPD), follow these steps:

    Note:

    The HP Universal Print Driver (UPD) is a single driver which provides printing support for multiple HP printer models in a Windows environment in lieu of printer-specific drivers for each printer. This makes it easy for system administrators and IT help desks to distribute.

    1. On your computer, open a Web browser and go to www.hp.com/go/upd.

    2. On the HP Universal Print Driver page, click Download Now.

    3. When prompted, select your location (country/region).

    4. Click the "Driver-Universal Print Driver" heading to expand that section, choose the driver that you want to install from the available options, and then click Download.

    5. After the file has downloaded, click the .exe file to begin the install.

    6. Follow the prompts in the installation dialog to install the driver.

  6. Connect the printer:

    Choose one of the following options to connect your printer:

    • Option one - USB connection:

      Connect the USB cable between an internet-connected computer or port and the USB port on the rear of the printer.

      Note:

      When you connect the USB cable, the printer might automatically power down and then restart. Wait for the printer to restart before continuing to the next step.

      After connecting a USB cable, the printer will show in the "Printers & scanners" list in the Windows Settings menu.

      The printer is now configured to begin printing. You do not need to complete any other steps. The remaining steps in this document apply only if you are connecting your printer with an Ethernet cable.

      Note:

      If an HP Smart dialog displays on the computer screen prompting you to click for more information, disregard the message and click the "x" to close the dialog. Users who have bypassed the cloud onboarding are not required to download HP Smart.

    • Option two - Ethernet or wireless connection:

      Follow these steps to connect the Ethernet cable and print a Printer Configuration Page from the printer control panel to obtain the printer's IP address.

      Important:

      These steps also apply to users who want to connect the printer to a wireless network.

      To establish a wireless connection, you must first connect the printer via Ethernet, and then use the Embedded Web Server (EWS) to configure the wireless connection.

      1. Connect the Ethernet cable to your network port and the other end to the Ethernet port on the rear of the printer.

      2. On the printer control panel, press the OK button to display the Home screen.

      3. Use the arrow buttons to navigate to Setup, and then press the OK button.

      4. Use the arrow buttons and the OK button to navigate to and open the following menus:

        1. Reports

        2. Printer Configuration Page

      5. Wait for the Printer Configuration Page to print and then look on the page to find the URL (listed under Product Settings).

        The string of numbers listed after "https://" is the printer's IP address (i.e. 192.168.0.32).

        Note:

        Keep the configuration page handy as you will need the printer's IP address in the next steps.

      6. Choose one of the following options to continue the setup:

        • To continue setup for an Ethernet connection, skip to Step 8, and follow the instructions to add the printer in Windows.

        • To configure the printer for a Wi-Fi connection, continue to Step 7.

  7. Use the Embedded Web Server (EWS) to configure Wi-Fi:

    After connecting the printer via an Ethernet connection, follow these steps to configure the printer to connect to a wireless network.

    Note:

    If you do not want to connect the printer to a wireless network and prefer to stay connected via Ethernet, continue to step 8.

    1. Open the EWS:

      1. On your computer, open a Web browser, and in the address bar, type the IP address or host name exactly as it is listed on the Printer Configuration Page.

      2. Press Enter on the computer keyboard.

        Note:

        If the browser displays a message indicating that accessing the website might not be safe, select the option to continue to the website. Accessing the website will not harm the computer.

        Before the EWS opens, a dialog will display prompting you to enter the PIN.

        Important:

        Before you can access the EWS, you must obtain the PIN.

        The default PIN is located on a label inside the cartridge access door on the front of the printer. When you open the cartridge access door, the label is located on the right side (as shown in the image below).

        Note:

        After signing-in to the EWS, you can change the admin password by navigating to Settings > Security > Password settings.

    2. In the "Log in with PIN" dialog, enter the PIN, and then click Submit.

    3. On the EWS Home page, click Network Summary or Wireless Setup Wizard.

      If you select the Wireless Setup Wizard option, follow the instructions in the EWS to select the wireless network, and then continue to the next step to complete the wireless setup.

    4. On the Network Summary page, click Wireless (802.11) in the left navigation pane to expand that menu, and then click Advanced.

    5. Under the Network Interface heading, make sure the On radio button is selected.

    6. In the SSID text field, enter the SSID (network name).

    7. Under Network Settings, select the appropriate option and then enter the network credentials, including authentication and encryption, and click Apply.

      Note:

      If you select the WPA-Personal option, it is recommended that you keep the WPA version and Encryption values set to Automatic.

    8. Disconnect the Ethernet cable from the rear of the printer.

      The printer will automatically connect to the wireless network.

  8. Add the printer in Windows:

    Follow these steps to add the printer to the Printers & scanners list in Windows.

    Note:

    These steps apply only to users who are connected via Ethernet. If you connected the printer with a USB cable, disregard these steps as they do not apply.

    1. On your Windows computer, click the Start button > Settings icon > Devices > Printers & scanners.

    2. In the "Printers & scanners" window, click HP Universal Printing PCL 6, and then click Manage.

    3. In the "Manage your device" window, click Print a test page.

    4. When the "HP Universal Printing PCL 6" dialog displays, select the printer that you want to print to by clicking Find a Printer, and then click Enter a Printer Address.

    5. In the "Enter a Print Address" dialog, enter the printer’s IP address (that you obtained in the previous steps) in the Printer Address field, and the click OK.

    6. Click the check box next to "Add this printer to my Printers and Faxes folder," and then click Print.

      Once the printer is validated, a dialog will display to indicate that the printer has been added to your Printers and Faxes folder. Click OK to close the dialog.

      The test page will print. The printer is now configured for printing.
