HP LaserJet Pro - Store print jobs on the printer to print later or print privately

Learn how to store a print job on the printer to print at a later time or print privately.

The sections below contain instructions on how set up the printer for job storage, create a stored job, print a stored job, and delete a stored job.

In addition to the instructions in this document, you can view the following video of how to store and print confidential jobs on the printer.

Note:

This video applies to HP LaserJet Pro printers that have a touchscreen control panel with a white background. For all other HP LaserJet Pro printer models, refer to the sections below for the correct steps.

By using HP Smart and pairing your printer with your HP account, you can print files from anywhere. You can carry out the following print tasks with the HP Smart app:

Print directly from HP Smart
Print from any Windows or Android app that has a Print menu.
Make copies (Android, iOS and select printer models): The Copy feature uses the device camera to capture a document or photo that you can then edit and print.
Share your printer: Allow others to send remote print jobs to your Print Anywhere printer.
Enable Private Pickup (HP+ printers only): Hold a print job until the person who sent it is near the printer.
Manage your printer: Change printer preferences, view printer information and reports, and more.

Requirements for using the job storage feature

Before using the job storage feature, make sure you meet the following requirements:

A dedicated USB 2.0 storage device with at least 16 GB free space must be installed in the rear host USB. This USB storage device holds the job storage jobs sent to the printer. Removing this USB storage device from the printer disables the job storage feature.
If you are using an HP Universal Print Driver (UPD), you must use UPD version 5.9.0 or above.

Set up the printer for job storage

To set up the printer for job storage, you must insert a USB flash drive into the rear USB port on the printer, and then open the print driver to verify that the job storage feature is enabled.

Locate the rear USB port.

Note:
On some printer models, the rear USB port is covered. Remove the cover on the USB port before proceeding.
Insert the USB flash drive into the rear USB port.

A message displays on the printer control panel notifying that the USB drive will be formatted. Select OK to complete the procedure.
Open the print driver to verify that the Job Storage tab is visible.
- If the Job Storage tab is visible, the feature is ready to use.
- If the Job Storage tab is not visible, continue to the next step.
From the software program on your computer, select the Print option, select your printer from the list of printers, and then follow the steps below (for your operating system).
- Windows:
  Click Properties or Preferences.
  
  Click the Job Storage tab.
  
  If the Job Storage tab is not showing, activate it using one of the following methods:
  
  Close the Print window and then reopen it.
  
  Click the Device Settings tab, and then click Update now.
- macOS:
  
  In the Copies & Pages menu, click the menu's drop-down list and select Job Storage.
  
  If the Job Storage menu is not showing in the list, close the Print window and then reopen it to activate the menu.

Disable or enable the job storage feature

Disable the job storage feature to make it unavailable, even if a USB flash drive is inserted into the printer. Re-enable the feature to make it available again.

On your computer, open the Printer Properties:
- Windows: From the Start menu, open Settings, click Devices, and then click Printers & scanners. Click the printer and click the Manage button. Click Printer properties.
- macOS: From the Apple menu, open System Preferences, and then click Printers & Scanners. Select the printer and click Options & Supplies.
Disable the Job Storage feature:
- Windows: Click the Device Settings tab, click Job Storage, and then select Disable.
- macOS: On the Options tab, clear the Job Storage check box.

To re-enable the feature, change the Job Storage option to Automatic (Windows), or select the Job Storage checkbox (macOS).

Create a stored job

Learn how to create a stored job on the printer.

Note:

The steps to create a stored job differ depending on your computer operating system.

Click the section below that pertains to your computer operating system and then follow the steps provided to create a stored job.

Create a stored job (Windows)

Follow these steps to create a stored job from a software program in Windows.

From the software program, select the Print option.
Select the printer from the list of printers, and then click Properties or Preferences (the name varies for different software programs).

Note:
For the HP PCL-6 V4 driver, the HP AiO Printer Remote application downloads additional driver features when More settings is selected.
Click the Job Storage tab.

Note:
If the Job Storage tab is not showing, follow the instructions in the "Disable or enable the job storage feature" section above to activate the tab.
Select a Job Storage Mode option:
- Proof and Hold: Print and proof one copy of a job, and then print more copies. The first copy prints immediately. Printing of the subsequent copies must be initiated from the printer control panel. For example, if 10 copies are sent, one copy prints immediately, and the other nine copies will print when the job is retrieved. The job is deleted after all copies are printed.
- Personal Job: The job does not print until you request it at the printer control panel. For this job-storage mode, you can select one of the Make Job Private/Secure options. If you assign a personal identification number (PIN) to the job, you must provide the PIN at the printer control panel. If you encrypt the job, you must provide the required password at the printer control panel. The print job is deleted from memory after it prints.
- Quick Copy: Print the requested number of copies of a job and store a copy of the job in the printer memory so you can print it again later. The job is deleted manually or by the job retention schedule.
- Stored Job: Store a job on the printer and allow other users to print the job at any time. For this job-storage mode, you can select one of the Make Job Private/Secure options. If you assign a personal identification number (PIN) to the job, the person who prints the job must provide the PIN at the printer control panel. If you encrypt the job, the person who prints the job must provide the password at the printer control panel. The job is deleted manually or by the job retention schedule.
To create a custom user name or job name, click the Custom radio button, and then enter the user name or the job name in the text field.

If the job name you entered is already being used for another stored job, choose one of the following options from the If job name exists drop-down list:
- Use Job Name + (1-99): Append a unique number to the end of the job name.
- Replace Existing File: Overwrite the existing stored job with the new one.
Click the OK button to close the Properties dialog box.
In the Print dialog box, click the Print button to print the job.

Create a stored job (macOS)

Follow these steps to create a stored job from a software program in macOS.

From the software program, click the File menu, and then click the Print option.
In the Printer menu, select the printer.

By default, the print driver displays the Copies & Pages menu.
Open the menu's drop-down list, and then click the Job Storage menu.
In the Mode drop-down list, select the type of stored job.
- Proof and Hold: Print and proof one copy of a job, and then print more copies.
- Personal Job: The job does not print until someone requests it at the printer control panel. If the job has a personal identification number (PIN), provide the required PIN at the control panel. The print job is deleted from memory after it prints and is lost if the printer loses power.
- Quick Copy: Print the requested number of copies of a job and store a copy of the job in the printer memory to print it again later.
- Stored Job: Store a job on the printer and allow other users to print the job at any time. If the job has a personal identification number (PIN), the person who prints the job must provide the required PIN at the control panel.
If you selected the Stored Job or Personal Job option, you can protect the job with a PIN. Type a 4-digit number in the Use PIN to Print field. When a person attempts to print the job, the printer will prompt them to enter the PIN.
To create a custom user name or job name, click the Custom button, and then enter the user name or the job name in the text field.

If the job name you entered is already being used for another stored job, choose one of the following options from the If job name exists drop-down list:
- Use Job Name + (1-99): Append a unique number to the end of the job name.
- Replace Existing File: Overwrite the existing stored job with the new one.
Click the Print button to print the job.

Follow these steps if your printer has a touchscreen control panel with a white background.

From the Home screen on the printer control panel, touch the Print icon, and then touch Job Storage.
Scroll to and touch the name of the folder where the job is stored.
Scroll to and touch the name of the job that you want to print.

If the job is private or encrypted, enter the PIN or password, and then touch Done.
To adjust the number of copies, touch the box to the left of the Print button and then enter the number of copies using the touch keypad. Touch Done to close the keypad.
Touch Print to print the job.

Follow these steps if your printer has a touchscreen control panel with a black background.

From the Home screen on the printer control panel, swipe until the Jobs icon displays. Touch the Jobs icon to open the menu.
From the Job Folders list, select a user name.

A list of jobs stored under that user name displays.
Select the name of the job. If the job is private or encrypted, enter the PIN or password when prompted.
To adjust the number of copies, touch Copies, enter the number of copies using the touch keypad, and then touch OK.
Touch Print to print the job.

2-line LCD control panels

Follow these steps for printers that have a 2-line LCD control panel with physical buttons.

On the printer control panel, press the OK button to display the Home screen.
Use the arrow buttons to navigate to Job Storage, and then press the OK button.
From the Job Folders list, use the arrow buttons to navigate to the folder (or user name) where the job is stored, and then press OK.
Use the arrow buttons to navigate to the name of the job that you want to print, and then press OK.

If the job is private or encrypted, enter the PIN or password.
To adjust the number of copies, use the arrow buttons to navigate to the Copy option, and then press OK. On the Copy screen, use the arrow buttons to select the number of copies and then press OK to save the setting.
Press OK again to print the job.

Delete a stored job

Learn how to delete a job that is stored on the USB flash drive.

When a new job is stored on a USB flash drive, any previous jobs with the same user and job name are overwritten.

If the memory on the USB flash drive is full, the following message displays on the printer control panel:

The USB flash storage device is out of memory. Delete unused jobs, and then try again.

Existing stored jobs must be deleted before additional print jobs can be stored.

Note:

The steps to delete a stored job vary according to the type of control panel.

From the Home screen on the printer control panel, touch the Print icon, and then touch Job Storage.
Scroll to and touch the name of the folder where the job is stored.
Scroll to and touch the name of the job that you want to delete.

If the job is private or encrypted, enter the PIN or password, and then touch Done.
Touch the Trash icon , and then touch Delete to delete the job.

From the Home screen on the printer control panel, swipe until the Jobs icon displays. Touch the Jobs icon to open the menu.
From the Job Folders list, select a user name.

A list of jobs stored under that user name displays.
Select the name of the job that you want to delete. If the job is private or encrypted, enter the PIN or password.
Touch Delete, and then touch OK to confirm that you want to delete the job.

2-line LCD control panels

Follow these steps for printers that have a 2-line LCD control panel with physical buttons.

Press the OK button again to confirm that you want to delete the job.
