HP FutureSmart - Schedule and send a user data log via email

Learn how to schedule and send user data logs via email using the new Device User Statistics Log feature available starting in HP FutureSmart version 5.5.

The Device User Statistics Log captures user data including name, print data including black pages printed, pages copied, pages faxed, and pages scanned. This feature, now available in HP FutureSmart 5.5 and later, adds the ability for administrators to schedule and send the Device User Statistics Log via email either daily, weekly, or monthly.

Note:

This log can be printed or exported and saved as a tab-delimited text file (*.txt) or a comma-separated values text file (*.csv).

To enable and use this feature, follow the steps provided below.

Applicable printers

This document applies to HP Enterprise and HP Managed printers running HP FutureSmart 5.5 or newer with a mass storage device such as a hard disk drive, solid-state drive, or USB flash drive.

Enable the Device User Statistics Log feature (EWS)

To enable the Device User Statistics Log feature, use the Embedded Web Server (EWS).

Make sure the following prerequisites are met:

  • You can access the printer EWS.

  • The EWS local Administrator password is set.

  • An SMTP server is configured, or SMTP server information is available for configuration.

  • The printer has a mass storage device such as a hard disk drive, a solid-state drive, or a USB flash drive.

  1. In the address line of a web browser, type the printer IP address or host name and then press Enter to open the Embedded Web Server (EWS).

  2. Log in as an administrator.

  3. Select the General tab.

  4. Select Job Statistics Settings.

  5. Select Enable Device User Statistics Log.

  6. Click Apply.

To enable the email send feature and schedule a user data log delivery via email, use the Embedded Web Server (EWS).

  • An SMTP server is configured, or SMTP server information is available for configuration.

  • The Device User Statistics Log feature is enabled. See Enable the Device User Statistics Log feature (EWS).

  1. In the address line of a web browser, type the printer IP address or host name and then press Enter to open the Embedded Web Server (EWS).

  2. Log in as an administrator.

  3. Select the General tab.

  4. Select Job Statistics Settings.

  5. Make sure the Device User Statistics Log feature is enabled.

  6. Select Send user statistics logs by email to enable the setting.

  7. Select a pre-configured SMTP server, or click Add to add new SMTP server information.

    Select a pre-configured SMTP server by clicking to select a listed server. To add a server, click the Add button below the list of servers. At the time of writing, the Add button is the left-most button in the list of buttons (Add..., Edit..., Remove..., Move Up, and Move Down).
  8. Add at least one email recipient in the Recipients (up to 5) field.

    Add at least one recipient in the Recipients (up to 5) field. Type the recipient's email address in the field and click the Add button to the right of the field. The added email address is moved to a second, larger field immediately below the Recipients field.
  9. Select the file type (Text or CSV) for the User Statistics log.

    Select the file type for the user statistics log. At the time of writing, the top option is the tab-delimited text file type. The bottom option is the comma-separated value file type.
  10. Select the frequency (daily, weekly, and monthly) to send the email.

    Select the email frequency from the Event Frequency drop-down menu. At the time of writing, the first option is Daily, the second option is Weekly, and the third option is Monthly.
    • For daily frequency, select the time to send the email.

      Daily frequency email settings. The first field is for the hour, which is in a 12-hour format. The second field is for the minute. The third field has a pull-down list for AM or PM.
    • For weekly frequency, select the time, pattern, and days of the week to send the email.

      Weekly frequency email settings. The weekly settings include the time of the daily settings. The Pattern option is Every X weeks, where X is a field to enter a number. In the image, the value entered is 1. The Days option is a vertical list of the days of the week starting with Monday. Each day has a checkbox. Select one or more days to send the email.
    • For monthly frequency, select the time, pattern, starting month (January – December), and the day of month to send the email.

      The day of month can be a particular date, the last day of the month, or a certain weekday of any week.

      Monthly frequency email settings. The monthly settings include the time of the daily settings and the pattern of the weekly settings. The monthly settings also include the Starting Month field, with a pull-down list of the months starting with January. The Starting Month is followed by a radio-button list of three items. The first list item is Day of month, followed by a field with a drop-down list to select the day of the month to send the email. The second list item is Last day of the month. The third list item is Every followed by one field with a drop-down list to select which week of the month to send the email (for example, First). The first field is followed by a second field with a drop-down list to select the day of the week (for example, Monday).
  11. Click Apply to save the configuration.
