HP iPAQ 300 Travel Companion Series - Synchronizing Microsoft Outlook Information with the Device

The HP iPAQ Outlook Synchronizer can synchronize contact entries between your computer's Microsoft Outlook database and the HP iPAQ 300 Travel Companion series device. It can also back up and restore the entire contacts database.
note:
The HP iPAQ Outlook Synchronizer is installed automatically when you download and install Content Manager from www.hp.com/support. Register your iPAQ by visiting the Web site before downloading these applications.
note:
The HP iPAQ 300 Travel Companion Series is not shipped with ActiveSync. Hence we cannot perform a synchronization using ActiveSync or Windows Mobile Device Center (WMDC) on a host PC. This model is shipped with the HP iPAQ Outlook Synchronizer application.

Synchronize the device

To launch the Synchronization application, tap Start > All programs > HP iPAQ Outlook Synchronizer.
After launching the application, select any one of the options displayed:
  • Data backup: Launches the backup application. The entire contact database is saved to a file on the computer. This saved file can then be restored to the iPAQ.
  • Settings: Launches the Settings screen.
  • Start: Launches the Outlook synchronization application.
If an entry has changed in the Microsoft Outlook database on the computer or in the contacts information on the device, the Synchronizer application copies the new information accordingly. If an entry has changed in both places, the Synchronizer application prompts the user to check which version is to be retained, or resolve the conflict automatically, depending on the configuration. When an iPAQ is connected to a PC, the application minimizes on the taskbar, and then detects and synchronizes automatically.
Select one of the following options after connecting the device:
  • Synchronize automatically: After enabling this option, the application synchronizes with the iPAQ immediately when connected.
  • Start with Windows: After enabling this option, the application launches when the PC is powered on.
  • Conflict handling: After enabling this option, the application determines the outcome if a contact has been modified both in Outlook and on the device after the last synchronization.
The main screen for Outlook synchronization offers the following options:
  • Tap Settings to see the configuration options.
  • Tap Minimize to minimize the window to the task bar.
  • Tap Close to exit from the application.
The synchronization status is displayed at the bottom of the window. When the device is connected, Sync! becomes active. After clicking it, the progress bar shows the overall progress, and the device status displays Synchronization is in progress. Also, the window displays the lists of the applications that are being synchronized.

Verifying settings while synchronizing contacts

In the Outlook Synchronizer, it is necessary to select a specific option to avoid losing contacts on the device or on the PC while synchronizing.
In the Outlook Synchronizer, click Sync > Start > Settings, and then select any one of the following options:
  1. PC Overwrite Device: If this option is selected, then the contacts saved on the iPAQ will synchronize with the PC and the contacts stored in the iPAQ will be retained. However, the contacts saved in Outlook will not synchronize with the iPAQ, and will be deleted from the PC.
  2. Device Overwrite PC: If this option is selected, then all the Contacts saved in Outlook will synchronize with the iPAQ and the contacts on the PC will be retained. However, contacts saved on the iPAQ will not synchronize with the PC and will be deleted from the iPAQ.
  3. Ask Me: If this option is selected, the contacts saved in Outlook and iPAQ will be synchronized and the contacts from the PC and the iPAQ are not deleted. Consequently, according to the issue being faced, the option Ask Me must be selected.
