HP Jornada and HP Palmtop PDAs - Synchronizing with Outlook Data Residing on a Network Server

Introduction
This document addresses an issue with PDA models running on MS Windows CE 2.0 and higher, where some or all of the MS Outlook data is located on a network server, not on the local PC. Some or all of the MS Outlook data will fail to synchronize, while locally stored files and programs will synchronize.
Solution
To resolve this issue, it is necessary to remove and re-establish the connection with MS Outlook open as described in the following procedure.
  1. Disconnect the PDA from the PC.
  2. If MS ActiveSync has been set to synchronize files, copy the Synchronized Files folder on the PC to a safe location.
    1. Create a new folder on the desktop and name it appropriately.
    2. Double-click the Synchronized Files shortcut on your desktop.
    3. Click the Edit menu at the top, then choose Select All.
    4. Click Edit, then Copy.
    5. Open the newly created folder on the desktop and choose Edit, then Paste. (The documents will be saved for the remainder of this procedure.)
  3. Open MS ActiveSync and click File, then Delete Partnerships. Continue this process to delete any previously created partnerships until that option is grayed out.
  4. Open MS Outlook and be certain that all of the data to be synchronized to the PDA is present.
  5. Connect the PDA to the PC.
  6. Open MS ActiveSync and set up a new partnership.
      note:
    If a Synchronized Files folder was saved to a safe location, make sure to select synchronize files when setting up the partnership.
MS Outlook must be open on any subsequent synchronization to allow for MS ActiveSync to locate the data maintained on the network.
Restoring synchronized files
To restore the Synchronized Files folder, wait until synchronization has completed, then reverse the file copy procedure, as shown below.
  1. Open the folder that was created to save the documents, choose Edit, and then Select All.
  2. Select Edit, then Copy.
  3. Double-click the new Synchronized Files Folder shortcut on the desktop and in that window, select Edit, then Paste.
  4. After the documents have been transferred to the new Synchronized Files Folder, MS ActiveSync will update the PDA.
