Scan directly from the printer control panel to a Windows computer. Installing HP Universal Scan Software is required to enable the scan to computer function.
macOS does not support scanning directly to a Mac from the control panel. As a scan alternative, use the HP Smart app or Apple Image Capture. For more information, go to How to scan with an HP printer.
Install HP Universal Scan Software to enable the scan to computer function.
On your Windows computer, go to HP Universal Scan Software and download the driver.
Download and install the full feature driver to get the most scanning benefits. Download the basic driver if you want a smaller file size without additional advanced features, such as Optical Character Recognition (OCR).
Open the downloaded driver, and then follow the instructions to install the software and connect your printer.
Enable Scan to Computer on your Windows computer to enable scanning to your computer from the printer control panel.
Make sure your printer is connected to the same network as your device.
On your computer, open HP Scan Assistant.
Select your printer, and then click OK.
In the new window, click Manage Scan to Computer.
Click Enable.
Change the default control panel scan settings in Windows with HP Scan.
On your computer, open HP Scan, and then choose the Scan Shortcut you want to change, such as Scan as PDF or Scan as JPEG.
Change the desired scan settings, and then click the Save icon .
Scan directly from the control panel to a Windows computer.
Place the original on the scanner glass or into the Automatic Document Feeder (ADF).
The ADF mechanism can damage photos. To copy or scan photos, use an alternate method, such as the scanner glass or your mobile device camera with the HP Smart app.
On the control panel, touch Scan, and then touch Scan to Computer.
Select the name of your computer in the list, such as DESKTOP-[NAME] or DESKTOP-[NAME] (USB). To find the name of your computer, search Windows for About your PC, and then find it next to Device name.
Choose Scan as PDF or Save as JPEG, and then touch Send.
Scan to email directly from the control panel using a network-connected printer. Scan to email is not supported by USB-connected printers.
The following information is required to set up scanning from the printer control panel to an email address.
Administrative access to the printer
SMTP server name
SMTP port number
SMTP authentication for outgoing emails
To scan with a Gmail account, you must generate an app password from the Google account website. For a Hotmail/Outlook account, you only need an app password when 2-step verification is enabled. Note that Yahoo mail is not supported as Yahoo has discontinued the app password feature.

If you have an SMB/Enterprise (Google Workspace, Office 365) account and your email address does not end with gmail.com, hotmail.com, or outlook.com, contact the email/internet service provider or system administrator for more information.
Generate an app password to use for the scan to email setup.
From your computer or mobile device, log in to your Gmail account.
Click Security from the left pane.
Under How you sign in to Google, click 2-Step Verification.
Click Get Started, follow the instructions, and then click TURN ON to complete the configuration.
Return to the 2-Step Verification page. Under How you sign in to Google, click App passwords.
At the bottom of the page, click App passwords.
Click the Select Device drop-down, and then click Other (custom name).
Enter a device name for the app password, such as the printer name, and then click GENERATE.
A 16-character code generates.
Save this password in a safe location to use later during setup.

From your computer or mobile device, log in to your Hotmail or Outlook account.
Click Security from the top pane.
Navigate to Advanced security options, and then click Get started..
Under Additional security, click Turn on for two-step verification, and then follow the instructions to complete the configuration.
Scroll to App passwords, and then click Create a new app password.
A 16-character code generates.
Save this password in a safe location to use later during setup.
Configure the scan to email settings in the Embedded Web Server (EWS).
Make sure the printer is connected to the same network as the computer.
On the printer control panel, swipe down the notification pane from the top center to display the printer IP address.
On a computer or mobile device, open a web browser and type the printer IP address into the address bar. To learn more about how to access the EWS, go to Use the HP printer Embedded Web Server (EWS).
Expand the General tab in the left pane, go to Email Servers, and then click the Add icon .
If you or your organization use one email server for emails, select SMTP server.
If you or your organization use multiple emails servers for emails, select User-defined email profile.
Enter your Display Name and the sender Email address.
Enter the outgoing mail SMTP server information. For SMTP server information, contact the email service provider or system administrator.
SMTP Server Name: The email provider server address.
SMTP Port Number: The port value for the email server.
Maximum Size of Email: Most email providers or clients limit the size of email attachments, typically ranging from 10MB to 50MB for free accounts.
Enable Always Use Secure Connection (SSL/TLS) for security purposes.
Do not enable Validate Certificates if no certificate was imported to the printer.
If the SMTP server or user-defined email profile requires authentication to send an email, select Server Requires Authentication.
For email services that require 2-step verification for authentication, enter the User Name (your email address) and Password (your Gmail/Hotmail/Outlook app password). This password is the one you generated through your email account.
To require a PIN to be entered on the printer control panel before a printer can send a scan, enable Use Security PIN.
Enter, and then confirm your PIN.
This PIN must be entered on the control panel each time the profile is used to send a scan to an email address.
Click Apply to complete the setup.
Test the email server for the new email profile you created. Select the check box for the new email profile, click the Test icon , and then click Test. You will receive an email if the test was successful.
Configure the default job options, add contacts to the Address Book, and configure Quick Sets for scan to email jobs using the Embedded Web Server (EWS).

On the EWS Home page, click Scan in the left navigation pane, and then click Scan to Email.
Select the options that you want to assign as the default settings.
Click Apply to save the settings.
Add contacts to the Address Book for scan to email jobs using the Embedded Web Server (EWS).
On the EWS Home page, click Contacts in the left navigation pane.
Select the appropriate address book option to add contacts from the Select Address Book drop-down list.
Use one of the following options to set up a contact list:
You can add contacts individually to the contacts list. Click the Add Contact or Add Group icon to add contacts to the list.
A Network Directory Server (LDAP) can be set up to search for users within a company. Click the Address Books tab at the top of the Contacts page to configure LDAP.
You can also use the Address Books page to set up more than one contact list. Under Manage Address Books, click the Add icon to add additional custom address books.
Configure Quick Sets using the Embedded Web Server (EWS).
Quick Sets are optional shortcut jobs that can be accessed from the Home screen on the printer control panel. They are useful for saving scan settings for jobs that you carry out frequently.
On the EWS Home page, click Quick Sets in the left navigation pane.
On the Quick Sets page, click the Add icon .
In the Quick Set Type drop-down list, select Email for quick set, and then click Next.
Follow the prompts to change any Quick Set settings.

On the control panel, touch Scan, and then touch Scan to e-mail.
Choose the sender profile you want to use.
To preview the scan, touch the Preview icon .

Touch the Send icon to send the scan.
Scan directly to a shared Windows or macOS network folder from the printer control panel.
Set up a shared folder in Windows or macOS that can be accessed by other users or devices on the same network.
Set up a shared folder that can be accessed by other users or devices on the network.
Make sure the printer is connected to the same network as the Mac.
On the Mac, create a new folder to set up for sharing.
Open the Sharing settings.
Click the Spotlight icon , and then search for and open Sharing in the General settings.
Click the Apple icon , click System Preferences, and then click Sharing.
Enable File Sharing.
Click the information icon or the Add icon
under the Shared Folders list.
Navigate to the folder you created, and then click Add.
Under Users, make sure your name is listed with Read & Write access.
If your name is not listed, click the Add icon to add your name.
If your name does not have Read & Write access, click the up and down arrows to open the drop-down menu, and then select it from the list.
Click Options.
Enable Share files and folders using SMB, enable any Windows user accounts you want to share with, and then click Done to complete the folder setup.
Under File Sharing, copy or write down the folder address starting with smb. You will enter this path later when sharing this folder with other users or devices.
Set up a shared folder from a Windows computer that can be accessed by other users or devices on the network.
Create a new shared folder or choose an existing folder to be shared.
Create a new folder, or select the existing folder you want to use.
Right-click the folder, and then click Properties.
Click the Sharing tab, and then click Advanced Sharing.
Click Share this folder.
Choose your access settings for the folder. Click Permissions, and then select Allow for Full Control, and then click OK.
Close the Advanced Sharing window, and then copy the network path. For example, \\servername.us.companyname.net\scans.
Save the network path to use later during setup.
Turn on file sharing for devices on the same network as the printer.
In Windows, search for and open Control Panel.
Click Network and Internet, and then click Network and Sharing Center.
Click Change advanced sharing settings from the left pane.
Under your network type, expand the section, and then enable File and printer sharing.
Configure the network scan folder in the Embedded Web Server (EWS).
Make sure the printer is connected to the same network as the computer.
On the printer control panel, swipe down the notification pane from the top center to display the printer IP address.
On a computer or mobile device, open a web browser and type the printer IP address into the address bar. To learn more about how to access the EWS, go to Use the HP printer Embedded Web Server (EWS).
Expand the Quick Sets tab in the left pane, and then click the Add icon .
Click the drop-down, select Network Folder as the Quick Set Type, and then click Next.
Enter a name to display on the control panel in the Quick Set Name field.
Enter a Description and choose a Quick Set Start Option (optional).
In the Network Folder Path, enter the path you previously created.
Under Sign-In method, select Use the following credentials.
Enter your User Name and Password.
Click Verify Access to confirm the credentials are correct.
You will receive a message if your access verification is successful.
Enable Use Security PIN to require a PIN to be entered on the printer control panel before sending a scan.
Enter, and then confirm your PIN.
This PIN must be entered on the control panel each time the profile is used to send a scan to an email address.
Click Next.
Select your default settings for future scans, and then click Next.

On a computer or mobile device, open a web browser and type the printer IP address into the address bar. To learn more about how to access the EWS, go to Use the HP printer Embedded Web Server (EWS).

Click the dropdown, select SharePoint as the Quick Set Type, and then click Next.
In the SharePoint path field, enter the SharePoint path.

You will receive a message if your access verification is successful.
To restrict scanning to the SharePoint, add a PIN to enter when selecting the SharePoint folder during scan setup. When a PIN is created, it must be entered on the printer control panel each time the profile is used to send a scan to SharePoint.
Click Next.
Select your default settings for future scans, and then click Next.
To change the default scan settings later, go to Scan > Scan to SharePoint in the left pane. Change your settings, and then click Apply.
