HP ShareBoard - Setting up the HP ShareBoard

The HP ShareBoard consists of a wall-mounted arm with a camera, placed above the whiteboard, and a control pad. During a ShareBoard session, the camera captures the content that is drawn or written on the whiteboard. It then uses advanced image processing technology to clean and enhance the content of the board for online viewing. During a presentation, remote users can join a session to watch an almost-live video feed. They can also view a timeline of changes made to the board during the session, download snapshots, and save the entire session content.
Use the following steps to setup your HP ShareBoard and start a session:
  1. Center the camera mounting plate above the whiteboard and secure the mounting plate using three of the included screws.
      note:
    The maximum capture size is 1.8m wide x 1.2m tall (6 ft wide x 4 ft tall). You can mount the HP ShareBoard above a larger whiteboard, but it will capture only the 1.8m wide x 1.2m tall area.

  2. Place the control pad mounting plate on either side of the board and secure it using three of the included screws.

  3. Slide the camera into the mounting plate by placing the top of the camera angled slightly upwards against the mount and tilting the camera down into position.

  4. Assemble the AC adapter by sliding the appropriate plug for your region onto the bottom of the AC adapter.

  5. Connect the microUSB camera cable and the power cord to the ports in the recessed area on the back of the control pad.
      note:
    Use only the included power cord and AC adapter. Do not connect the power cord to a computer USB port or to any other USB power supply.

    The arrow on the microUSB connector should be facing you when you plug it in.

  6. Push the control pad onto the mounting plate, and then connect the AC adapter to the power outlet.

  7. Wait 15 seconds until the network LED on the control pad blinks alternately between red and green indicating that it is in configuration mode and is ready to set up.
  8. Then connect your computer to the HPSHAREBOARD-xxxxxx Wi-Fi set-up network. To do this, right-click the Network icon in the Notification area in the lower-right corner of your computer screen, and click the HPSHAREBOARD-XXXXXX network.
      note:
    The numbers in the setup network name correspond to the ID number on the base of the camera arm. This network is available only when HP ShareBoard is in configuration mode and deactivates when setup is complete.

  9. Click Connect and wait while the network connects.

  10. In the browser on your computer, go to http://www.hp.com/shareboard/setup.
      note:
    This setup page is available only when you are connected to the HP ShareBoard Wi-Fi network. It cannot be accessed using any other Internet connection.

  11. The Welcome to HP ShareBoard screen displays. Click Next to configure the camera.

  12. Press the button on your HP ShareBoard control pad to give setup permission to configure your HP ShareBoard. When you press the button, the camera automatically detects the whiteboard.

  13. The naming screen displays. Enter a name to identify your HP ShareBoard-enabled whiteboard. For example, Meeting Room 1. Then click Next.

  14. HP ShareBoard automatically detects the size and shape of your whiteboard. Check that the entire board is displayed.

    If ShareBoard didn't automatically detect the whiteboard, you can adjust the board area manually by moving the green circles in the corners.

    When finished, click Next to continue.
  15. To enable the HP ShareBoard's online sharing functionality, select a wireless network and click Finish.
    After setup is complete, your computer will automatically reconnect to the network it was previously connected to. If this does not happen, manually reconnect your computer to a network with Internet access. You will be able to share the whiteboard with anyone online.
      note:
    Connecting to a guest network is not supported. Some Wi-Fi networks, such as guest networks found in hotels, display a web page to accept terms and conditions. The HP ShareBoard has no screen or keyboard and cannot display the web page. In addition, some corporate Wi-Fi networks have specific restrictions or policies that might prevent the HP ShareBoard from connecting to the Wi-Fi. For more information, see the HP ShareBoard FAQs.

    When the HP ShareBoard has successfully connected to the network, the network light is solid green.

  16. The Setup Complete screen displays your ShareBoard ID.

  17. After setup is complete, your computer automatically reconnects to the last network connection. If it does not happen automatically, you might need to connect to it manually. You can also rename the board and adjust the camera capture area.
    To reconfigure these settings, press and hold the button on the control pad until the LED flashes red and green. Connect to the HP ShareBoard Wi-Fi network, go to the HP ShareBoard setup page, and then repeat the configuration steps.
  18. When setup is complete, to use your ShareBoard, go to http://www.hp.com/shareboard from any computer or mobile device.
      note:
    To start an HP ShareBoard session, you must have physical access to the ShareBoard.
  19. On the Live Whiteboard Sharing page, enter your name and the ShareBoard ID. Then click VIEW BOARD.
      note:
    The ShareBoard ID is located on the base of the camera unit.

  20. When the HP ShareBoard is ready to start a session, the button on the control pad blinks blue. Press the button to begin recording the session.

  21. The button on the control pad, and the light on the camera, should both glow blue to indicate that you are logged in and the HP ShareBoard session is now active. When the HP ShareBoard session begins, your whiteboard displays with the following features:
    • Timeline menu. The Timeline menu lets you view all the changes that have been made to the board from the beginning of the session to the end. The device automatically detects when changes have been made to the board and stores the image captured just before the change was made. This allows you to add or erase content on the board without losing information. The saved images are available for download during the session and for one hour after the session ends.
    • Participants menu. The Participants menu displays the names of everyone viewing the current session. It also provides a link that you can use to invite others to join the session. You can manually copy and paste the link into a message, or choose the Invite by email option, which automatically composes an email with the invite link included.
    • Download menu. The Download menu allows you to take a snapshot of the board at any time, and save it as a PNG image. You can also download the board at any time during the session, which will save the timeline of changes made to the board as pages in a PDF document. These download options are available up to one hour after the session has ended, as long as you don't close the browser window you used to launch or join the session.

      note:
    Because of the processing needed to clean and enhance the whiteboard, expect a 3- to 5-second delay between writing something on the board and seeing it in the browser session. This delay might be longer depending on the quality and speed of the network connection.
  22. To invite others to view your board, select PARTICIPANTS on the lower menu bar. The Participants menu provides you with a link that you can send to anyone to invite them to join the session. During a session, the Participants menu also displays the names of everyone viewing the current session.

  23. Select Copy to share the session link by pasting it into a message, or select Email, to send an email invitation with the invitation link included. Any of the participants in the session can send an invitation or share a link to the session using the Participants menu.

      note:
    Each session has a unique URL to invite others to join. Be sure to send out the new invitation or URL every time you start a new session. Old invitations and URLs will not work.
    HP ShareBoard supports a maximum of 15 participants in the session. However, you can share your screen in a conferencing app to allow more people to see the screen without having to join the ShareBoard session.
  24. During the session, you can view and save changes to the board with the TIMELINE menu , or save the session with the DOWNLOAD menu.
  25. When you are done with the session, press the blue light/button on the control pad. When the blue light goes off, the session ends for all participants. The camera stops recording the whiteboard, but participants can still view the whiteboard slides in their browser and download them.
    You can also end the session from the browser window. Any of the participants can select the End option at any time, then choose whether to end the session for themselves only, or end the session for everyone.
    If all participants, including the organizer, close their browsers without ending the session, the session times out after thirty minutes and ends automatically.
      note:
    When an HP ShareBoard session ends, participants in that session have up to one hour to download the session content in the form of a PDF file as long as the browser window for that session is still active.
