HP LaserJet Pro 4001-4004 - Setting up the printer

This document explains how to set up the printer and install the software, and it includes information about the printer features.

Note:

Complete the hardware setup before installing the printer software.

Refer to the table below to learn which setup options are available for your printer model.

To verify your printer model, refer to the nameplate on the front panel of the printer.

Note:

HP recommends using Ethernet or Wireless to set up the printer to allow access to cloud-based features and services and additional printing solutions.

Note:

Do NOT use a USB cable to set up the printer if you intend to connect the printer to the cloud. After initial setup, you can connect a USB cable, if needed, but if the printer has been onboarded to the cloud, it needs to remain connected to the Internet to take advantage of cloud services and features.

Set up the printer

Follow these steps to unpack and set up the printer.

If the printer hardware is already set up, go to Step 5: Install the printer software for help with software installation.

  1. Unpack the printer:

    1. Select a site to place the printer that meets the following specifications:

      • A sturdy work surface in a well-ventilated and dust-free area, and away from direct sunlight.

      • Temperature range: 10° - 32.5° C50° to 90.5° F

      • Humidity range: 30% - 70%

    2. Allow sufficient space around the printer to open all doors and trays.

      Note:

      The printer weighs 8.56 kg18.9 lb.

    3. Take the printer out of the box and remove all tape and packing material.

      Note:

      HP recommends recycling the packaging materials.

  2. Load paper in Tray 2:

    The following information describes how to load paper into Tray 2.

    Note:

    This tray holds up to 250 sheets of 75 grams per square meter20 lb paper.

    2. Adjust the paper-length and paper-width guides by squeezing the adjustment latches and sliding the guides to the size of paper being used.

      Note:

      If loading legal paper, squeeze the latch behind the front of the tray and pull forward. Tray 2 will extend from the rear of the printer approximately 51 mm2 inches.

    3. Load paper into the tray.

      Note:

      To prevent jams, do not overfill the tray. Make sure the top of the stack is below the tray-full indicator.

    4. Verify that the paper guides lightly touch the stack or paper, but do not bend it.

    5. Close the tray.

  3. Connect the power cable and turn on the printer:

    1. Connect the power cable between the printer and a grounded AC outlet.

      Note:

      To prevent damage to the printer, use only the power cable that is provided with the printer.

    2. Press the Power button to turn on the printer.

  4. Choose a connection method:

    Choose one of the following options to connect your printer:

    • For an Ethernet setup, connect an Ethernet cable now. Connect the Ethernet cable to your network port and the other end to the Ethernet port on the rear of the printer.

      After connecting the Ethernet cable, continue to the next step to install the software.

    • For a wireless setup, do NOT connect any cables. Continue to the next step.

    • For a USB setup, continue to the next step to install the software. Wait until prompted by the software to connect the USB cable.

      Note:

      If you choose USB setup, you will NOT have access to cloud services and features.

  5. Install the printer software:

    When the printer is powered on, a website address (or URL) will display on the printer control panel. This is the website that you will go to install the printer software.

    Note:

    The website address that displays varies by printer model.

    Follow these steps to install the software:

    Note:

    If you do not want to install the printer software at this time, press the Right arrow button on the printer control panel. When the languages menu displays, use the arrow buttons to select the desired language, and then press the OK button. When "hpsmart.com/setup" (or "hpsmart.com/download") displays again, press the Cancel button two (2) times to bypass that message. Press the OK button again when the "Genuine HP Cartridges are installed" message displays. The printer will proceed to a Ready state.

    When you are ready to begin printing, a printer driver or software must be installed at that time.

    1. On your computer, open a web browser and go to the website address (URL) that displayed on the printer control panel when you first powered on the printer. The URL will be one of the following:

    2. Follow the onscreen instructions to download and install the software. The instructions vary depending on the website that you are using.

      Refer to the table below and follow the steps for the website that you are using to install the software.

      1. On the "Complete setup using HP Easy Start" webpage, click Begin Setup, and then click Install HP Easy Start to download the software.

      2. After the software has downloaded, click the .exe file and follow the onscreen prompts to install HP Easy Start.

        When the HP Easy Start software is installed, it will search for wireless printers that are not yet associated with the network (printers with a wireless light flashing), and Ethernet-connected and wireless printers that are already connected to the network.

        The printers that are detected will display on the screen.

        • If multiple printers are detected, click the printer that you want to set up.

        • For wireless or Ethernet-connected printers, if the printer that you want to set up is not listed, click My printer is not listed and follow the onscreen instructions to search for the printer.

          Note:

          If setting up the printer for Wi-Fi, make sure the PC is connected to the same Wi-Fi network. If setting up the printer for Ethernet, make sure the PC is connected to the same Ethernet network subnet.

        • If you want to set up the printer with a USB cable, click My printer is not listed, click the radio button next to USB Printer, and then click Continue. To complete the USB setup, proceed to the next step in this document and follow the steps for a USB connection.

      3. For wireless and Ethernet-connected printers, when the "Printer found" screen displays in the HP Easy Start software, continue to the next step to complete the printer setup.

      Note:

      These steps pertain to "d" models only. For all other models, you must go to hpsmart.com/setup to install the software.

      1. On the Get started with your HP printer webpage, enter your printer model (For example, HP LaserJet Pro 4001d), to obtain the correct software and driver, and then click Next.

        Note:

        You will be redirected to download the software and drivers for your printer model.

      2. Click Download.

      3. After the file downloads, click the .exe file to install HP Easy Start.

      4. Follow the instructions in the installer and when prompted, connect the USB cable between the internet-connected computer or port and the USB port on the rear of the printer.

        After the software installation is complete, the printer is configured for printing. You do not need to complete any more steps in this document.

        The remaining steps in this document apply to other printer models with additional connection options.

  6. Complete printer setup:

    Find your connection method (wireless, Ethernet, or USB) in the table below and follow the instructions provided to complete printer setup.

    1. When the "Printer found" screen displays in the HP Easy Start software, click Continue.

      Note:

      When connecting the printer to Wi-Fi, your computer must be near the printer during setup.

      When connecting wirelessly, if you do not connect to the wireless network within two hours, you will be required to power cycle the printer.

    2. When the "HP Auto Wireless Connect" screen displays, click OK.

      The software begins the process to connect the printer to the Wi-Fi network.

      To confirm your proximity to the printer, a message will display in the software with instructions to select "OK" on the printer control panel.

    3. On the printer control panel, press the OK button.

      HP Easy Start will configure the printer and add it to the network. The Network Settings screen will display in the software.

      Note:

      If proxy settings are required for your network, click Edit Proxy Settings in the software, enter the settings, and then click Apply.

    4. When the "Connect printer to internet" screen displays, click Continue.

    Ethernet

    If you have not already connected an Ethernet cable, connect one now. Connect one end of the Ethernet cable to your network port, and the other end to the Ethernet port on the rear of the printer.

    1. When the "Printer found" screen displays in the HP Easy Start software, click Continue.

      A message will display in the software asking you to confirm your proximity to the printer by selecting "OK" on the printer control panel.

    2. On the printer control panel, press the OK button.

      HP Easy Start will configure the printer and add it to the network. The Network Settings screen will display in the software.

      Note:

      If proxy settings are required for your network, click Edit Proxy Settings in the software, enter the settings, and then click Apply.

    3. On the Network Settings screen, click Continue.

    4. When the "Connect printer to internet" screen displays, click Continue.

      The printer will check for firmware updates. If prompted to continue with a Firmware Update, click Yes.

    USB

    After selecting the USB Printer option in the HP Easy Start software, follow these steps to complete USB setup:

    1. When the "Connect using USB" screen displays in the HP Easy Start software, connect the square end of the USB cable to the back of the printer, and connect the flat end of the cable to the USB port on your computer, and then click Connect Printer.

    2. When the "Printer found" screen displays, click Continue.

    3. On the "Choose your software and driver" screen, select a driver option from the available choices, and then click Continue.

      The software downloads and starts the installation process.

      Note:

      If prompted to select a printer to install on the network, click My device is not listed, and then click Next.

      If prompted to connect an Ethernet cable, click Cancel.

    4. When the "Connection Options" screen displays, select the radio button next to USB, and then click Next.

    5. When the "Setup Complete" screen displays, click Finish.

      Note:

      On this screen, there is an option to print a test page.

      Setup is complete and you can now begin printing from your computer.

      You do not need to complete any more steps in this document. The remaining steps apply only when the printer is connected to an Ethernet or wireless network.

  7. Pair your printer with HP Smart Admin (optional):

    Important:

    If you connected your printer with a USB cable, disregard these steps. These steps apply only when the printer is connected to a network (via an Ethernet cable or a wireless connection).

    Pairing your printer with HP Smart Admin will give you access to cloud-based features and services and additional printing solutions.

    Note:

    Pairing your printer with HP Smart Admin is optional. If you are not interested in accessing the cloud-based features and services, skip these steps.

    If you choose to skip these steps, you will be prompted to download the HP Smart print driver.

    1. On the HP Smart Setup page (hpsmart.com/connect), click one of the following options:

      • Sign In: If you already created an HP account in the past, choose this option and then enter the email address and password that you used when you created the account.

        Note:

        If you have forgotten your HP account username or password, click Forgot your username or password? for help to retrieve this information.

      • Create Account: If you do not have an HP account, choose this option and then enter the required information (first and last name, email address, mobile phone number, country/region), create a password for the account, and then click Create Account again.

        A verification code will be sent to the email address that you entered to create the HP account.

        Enter the verification code (that you received via email) in the "Enter code" field that displays on the setup page, and then click Verify. When your account is verified, click Continue.

    2. When prompted, select an account type (company-managed or personal) for the printer, and then click Continue.

      Note:

      If you choose the company-managed account type, you will be prompted to assign a printer owner (organization or company name).

    3. Follow the onscreen prompts to choose your desired options for HP data collection and firmware updates.

    4. When prompted for the pairing code, enter the pairing code that you retrieved in the previous step (Step 6), and then click Continue.

      A message will display when the pairing code has been accepted.

    5. When prompted, give your printer a name and location and click Continue, or if you do not want to add these details, click Skip.

    6. When the Instant Ink offer page displays, choose one of the following options:

      • To sign up for an Instant Ink subscription, click Continue and follow the onscreen instructions to complete the sign-up process.

      • To skip the Instant Ink offer and sign up at a later time, click Not Right Now.

    7. On the "Finish printer setup" page, click Set Up next to the "Set up print and send a test page" option.

    8. When the "Set up print and send a test page" dialog displays, click Install next to the "To enable printing, install a print driver" option to download the print driver.

      After the driver has downloaded, click the .exe file to start the printer driver installation.

    9. After the driver installation is complete, click Print next to "Print a test page" to ensure the printer is set up and ready to print. Then click Done to close the "Set up print and send a test page" dialog.

    10. At the bottom of the "Finish printer setup" page, click Go to HP Smart Admin to open the HP Smart Admin Dashboard.

      Use the HP Smart Admin Dashboard for the following tasks:

      • Manage the printer

      • Monitor print usage

      • Monitor your HP Instant Ink plan and usage (if applicable)

      • Invite users and additional administrators

      • Enroll in other printing solutions to make printing more efficient

      • Manage account settings

      Note:

      HP recommends bookmarking the HP Smart Admin Dashboard (hpsmart.com/admin) so you can easily access it again to manage your printer.

Help and tips for Wi-Fi and connectivity

If the HP Easy Start software is unable to find your printer during setup, check the following conditions to resolve the issue.

Tips for resolving Wi-Fi connectivity issues

Potential issue

Solution

Printer Wi-Fi setup mode timed out

If the Wi-Fi light on the control panel is not blinking blue, the printer might not be in Wi-Fi setup mode.

Use one of the following solutions to restart Wi-Fi mode:

  • Solution one: Turn the printer off and then back on.

  • Solution two: Follow these steps to restore network settings:

    1. On the control panel, select Setup > Network Setup > Restore Network Settings.

      The wireless light will begin blinking.

    2. Wait for one minute. Open the printer software and try connecting again.

Computer too far from printer

Move your computer closer to the printer. Your computer might be out of range of the printer's Wi-Fi signal.

Computer connected to a Virtual Private Network (VPN) or remote work network

Disconnect from a VPN before installing HP printer software.

Connect to the VPN again after finishing printer setup.

Note:

Consider your location and the security of the Wi-Fi network before disconnecting from a VPN.

Wi-Fi turned off on computer (computer connected by Ethernet)

If your computer is connected by Ethernet, turn on the computer's Wi-Fi while setting up the printer.
