Learn how to configure the printer security features using the Embedded Web Server (EWS).

Introduction

The printer includes several security features to restrict who has access to configuration settings, to secure data, and to prevent access to valuable hardware components.

The steps vary according to the type of control panel.

This video applies to multi-function printers (MFPs) with FutureSmart 4 firmware installed.

Security statements

The printer supports security standards and recommended protocols that help you keep the printer secure, protect critical information on your network, and simplify the way you monitor and maintain the printer.

Note:

The EWS has a security log that provides access to device generated syslog event information. The EWS Security Log stores all generated syslog event messages to an internal file that can be exported from the device EWS Security page. For more information, see HP FutureSmart EWS Security Log.

Assign an administrator password

HP recommends securing the printer by setting the admin password for the EWS. If the password is not set, anyone with access to the printer can configure any setting and discover information about your network.

Some tabs, pages, and settings are available only when an administrator password is set. For more information about assigning an administrator password, see the General Security page on the Security tab.

Assign the password

Assign an administrator password for access to the printer and the HP Embedded Web Server so that unauthorized users cannot change the printer settings.

  1. In the address line of your web browser, type the IP address or host name of the printer to open the EWS. For more information, see Open the HP Embedded Web Server (EWS).

  2. On the EWS Home page, click the Sign In button on the top right corner of the page, and then enter the Administrator credentials, as follows:

    • Local Device Account: Administrator

    • Password: admin

  3. Click the Security tab.

  4. In the left navigation pane, click General Security.

  5. In the User Name field, enter or select the desired administrator user name.

  6. Enter a password in the New Password field, and then enter it again in the Verify Password field.

    Note:

    For more information about password requirements for length and complexity, see HP FutureSmart 4 Administrative Password Security Features.

    Note:

    To change an existing password, first enter the existing password in the Old Password field.

    Note:

    Make note of the password and store it in a safe place. The administrator password cannot be recovered. If the administrator password is lost or forgotten, contact HP Support at support.hp.com for the assistance required to completely reset the printer.

  7. Click Apply to save the settings.

    Note:

    To maintain security, click Sign Out when you have finished using the EWS.

Sign in at the printer

Some features on the printer control panel can be secured so that unauthorized people cannot use them. When a feature is secured, the printer prompts you to sign in before you can use it.

You can also sign in without waiting for a prompt by selecting Sign In from the printer control panel. Typically, the credentials for signing in to the printer are the same as for signing in to the network. Consult the network administrator for this printer if you have questions about which credentials to use.

  1. From the Home screen on the printer control panel, select Sign In.

  2. Follow the prompts to enter the credentials.

Note:

To maintain security for the printer, select Sign Out when you have finished using the printer.

Encryption support: HP High Performance Secure Hard Disks

The Protect Stored Data page shows the current method of overwriting stored and temporary files on the device hard drive. The hard disk provides hardware-based encryption to protect sensitive data without impacting printer performance. This hard disk uses the latest Advanced Encryption Standard (AES) and has versatile time-saving features and robust functionality.

Use the Protect Stored Data page in the HP Embedded Web Server to configure the disk.

  1. In the address line of your web browser, type the IP address or host name of the printer to open the EWS. For more information, see Open the HP Embedded Web Server (EWS).

  2. On the EWS Home page, click the Security tab.

  3. In the left navigation pane, click Protect Stored Data.

  4. Configure the desired options and then click Apply.
