HP Printers - HP Smart: Use Shortcuts

This document is for HP wireless printers and the HP Smart app.

Shortcuts (formerly Smart Tasks) is a feature of the HP Smart app. Use Shortcuts to create one-touch shortcuts to speed up your repetitive tasks, such as emailing, printing, and saving your scans.

opmerking:
As of March 2021, HP Smart Tasks is renamed HP Shortcuts. Shortcuts are supported in many, but not all countries/regions. If the Shortcuts tile isn’t available in the Smart app, Shortcuts is not currently supported.

Shortcuts tile on the HP Smart app home screen

Step 1: Install the HP Smart app and enable Shortcuts

Install the HP Smart app, add your printer, and then enable Shortcuts.

Make sure your device and printer are connected to your wireless network, and then download and install the HP Smart app from 123.hp.com (Android, iOS), or HP Smart (in English) from the Windows Store (Windows 10).
Open the app, and then follow the on-screen instructions to add your printer.

opmerking:
Restrictions in Android 7.0 (Nougat) and later might prevent HP printer setup using the HP Smart app for Android. Go to Printer Setup Fails with HP Smart App (Android) for alternative steps to connect to your printer.
From the HP Smart app home screen, select your printer, and then click the Shortcuts tile.
If the Shortcuts tile does not display, personalize your home screen.
- Android, iOS: Tap Personalize Tiles, and then enable Shortcuts.
- Windows 10: Click the Settings icon , click Personalize Tiles, and then enable Shortcuts.
- Mac: Click Printer Settings, and then enable Shortcuts.
Follow any on-screen prompts to sign in or create an HP account.

Step 2: Create a Shortcut

Create a Shortcut to print, email, or save documents or photos to a connected cloud account.

opmerking:
Shortcut settings vary by printer, mobile device, or computer.

Click Shortcuts, and then click Create a Shortcut or the Plus sign.
Select the task actions you want to include.
- Print: Send a print job to your printer.
- Email: Send an email message or attachments.
- Save to: Save a file to a cloud storage account, such as Google Drive or Microsoft OneDrive.
  
  opmerking:
  The app creates an HP Smart folder in the connected cloud storage account for saved files.
Follow the on-screen instructions to create and name the task.
Click Save (Android, iOS) or Done (Windows 10 and Mac) to save the Shortcut.

The new task displays on the Shortcuts screen.

iOS: To run the Shortcut using Siri, select Add to Siri when prompted. Record the phrase for starting the task, and then tap Done.

Step 3: Run a Shortcut

Send print jobs, email, or save documents or photos to a connected cloud account.

Run a Shortcut from the HP Smart app

Use the HP Smart app to run Shortcuts from your mobile device or computer.

Click the Shortcuts tile, select a Shortcut, and then click Start, if a Start option displays.
Select the source of your image or document.
Open an existing document or photo, or scan a document or photo using your camera or printer, depending on your device.
Click Start or Start Shortcuts to run the Shortcut.

The app runs the selected Shortcut.

Run a Shortcut using Siri (iOS)

Run a Shortcut on your iOS device using a Siri Shortcut phrase.

Start Siri, and then say the Shortcut phrase you recorded when you created the Shortcut. The HP Smart app opens to the camera scan screen.
Scan with your camera, or select the Source option, and then select Files and Photos to open a file or select Scanner to scan from your printer.
When prompted, select Start from the activity screen to complete the Shortcut.

Run a Shortcut from the printer control panel (HP OfficeJet Pro 8020e, 8030e, 9010e, 9020e printers)

Once set up, you can run Shortcuts from the printer control panel.

Update the printer firmware version to 2109D, 2109E or later.

From the control panel, touch the Setup icon . Select Printer Maintenance, and then select Update the printer.
Open the HP Smart app and select your printer, if it is not already selected.
Tap the Shortcuts tile, scroll down the list of Shortcuts, and then select Sync my Shortcuts to my printer.
Select how long the Shortcuts are required.
Click Save > OK.

Any Shortcuts you created while signed in to your HP account are available to run from the control panel.
Load your original in the automatic document feeder (ADF) or the scanner glass using the guides.
Tap the Shortcuts icon on the printer control panel, and then select your HP account from the list.
Select the Shortcuts you want to run, make any changes, and then touch Start.

The printer runs the selected Shortcuts.

Run a Shortcut from the printer control panel (HP OfficeJet Pro 9010, 9020 printers)

Once set up, you can run Shortcuts from the printer control panel.

Update the printer firmware version to 1905A or later.

From the control panel, touch the Setup icon . Select Printer Maintenance, and then select Update the printer.
Open the HP Smart app and select your printer, if it is not already selected.
Tap the Shortcuts tile, scroll down the list of Shortcuts, and then select Sync my Shortcuts to my printer.

Any Shortcuts you created while signed in to your HP account are available to run from the control panel.
Load your original in the automatic document feeder (ADF) or the scanner glass using the guides.
Tap the Smart Tasks icon on the printer control panel, and then select your HP account from the list.
Select the Shortcut you want to run, make any changes, and then touch Start.

The printer runs the selected Shortcut.

Step 4: Enable scan to text (OCR, HP OfficeJet Pro 9010, 9020, 9010e, 9020e printers)

You can scan documents as text (OCR) for the Email or Save Shortcuts.

opmerking:
OCR is supported for scans from printers and mobile device cameras, and for JPG files opened in the HP Smart app. OCR is not supported for existing PDF files in Shortcuts.

From the HP Smart app, select your HP OfficeJet Pro 9010, 9020, 9010e, or 9020e printer, if it is not already selected.
Select a Shortcut or create a new one, and then click Edit.
Scroll down, and then click Document Handling Settings.
On the Document Handling Settings screen, turn on Make Searchable or Editable, and then select your language and file type, or turn on automatic file naming.

opmerking:
After you enable the OCR feature with an HP OfficeJet Pro 9010, 9020, 9010e, or 9020e printer, you can use the OCR feature with other HP printers.
From the HP Smart app, select your printer, click the Shortcuts tile, and then select a Shortcut that includes an Email or Save action.
Open a JPG file or start a new scan, and then run the Shortcut.

OCR is applied to files emailed or saved to your cloud account. The file become a searchable (PDF) or editable (DOX, TXT) file.

What are the requirements to use Shortcuts?

The following requirements must be met before you can use Shortcuts.

Country/region requirements: Shortcuts must be supported in your country/region. For more information, go to the HP Smart website (formerly HP Connected), click the country/region and language menu, and then review the list of countries/regions. If your country/region displays, Shortcuts is supported.
Android requirements: HP Smart app version 8.4 or later, Android 6.0 or later, HP Print Plugin version 258 or later, and a printer connected to your wireless network that supports the HP Smart app.
Apple iOS requirements: HP Smart app version 8.4 or later, Apple iOS 11 or later, and a printer connected to your wireless network that supports the HP Smart app.
Windows 10 requirements: HP Smart app version 125 or later and a printer connected to your wireless network that supports the HP Smart app.

opmerking:
In HP Smart, click the top menu bar, and then click About to view the version number.
MacOS requirements: HP Smart app version 12.5 or later and a printer connected to your wireless network that supports the HP Smart app.
Requirements for running a Shortcut from the printer control panel: An HP OfficeJet Pro 9010e, 9020e, 8020e, or 8030e printer with firmware version 2108A or later. Web Services must be turned on.

To update the firmware from the control panel, touch the Setup icon . Select Printer Maintenance, and then select Update the printer.

Can I use Shortcuts on my other devices?

Yes. You can sign in to the HP Smart app across multiple mobile devices or computers.

Why did my Shortcut not work as expected?

Shortcuts might not work as expected because of network connectivity problems, printer errors, or other issues.

Connectivity issues: Cellular or remote wireless networks might be less stable and consistent than your local network.
Printer-specific capabilities: Shortcut settings vary by printer. For example, printers that do not support two-sided (duplex) printing might not be able to use the two-sided printing setting with a Shortcut.
Device-specific capabilities: Shortcut settings vary by device. For example, printers that support two-sided (duplex) printing might not be able to use the two-sided printing setting with a Shortcut depending on your device:
- iOS: Two-sided printing is not supported with scans generated from the camera or printer. Use a different method to print, email, or save your scanned file.
- Windows 10: You might need to manually select two-sided printing from the printer software before running a Shortcut with the two-sided printing setting selected.
Lost emails: Check your email junk or spam folder. If the issue persists, see your email provider for the steps to allow delivery of Shortcuts emails to your inbox.
Printer errors: If the print job was blocked by an error, such as low ink levels, paper jam, or connection issues, the HP Smart app displays a notification.

opmerking:
If a print job is blocked for more than 5 minutes, the HP Smart app cancels the job automatically.

The file type might be too large, password protected, or not supported. Remove any passwords from files you want to print, and then confirm they are one of the following supported file types.
- Android: JPG, PNG, PDF
- Apple iOS: JPG, PNG, PDF, DOC, PPT, XLS
- Windows 10 and Mac: JPG/JPEG, PNG, BMP, PDF, PPT/PPTX, DOC/DOCX, XLS/XLSX
Orientation issues: iOS scanned PDFs rotate when viewed in Windows 10. Use your PDF viewer to rotate the image.
Formatting issues with DOCX files: When scanning an original from the app or printer, save scanned files as PDF for best results.

Why won't Shortcuts sync to or run from my printer?

Make sure your printer meets the following requirements for syncing or running Shortcuts:

Your printer is an HP OfficeJet Pro 9010, 9020 printer with firmware version 1905A or later and HP OfficeJet Pro 9010e, 9020e, 8020e, or 8030e with firmware version 2108A or later.
opmerking:
To update the firmware from the control panel, touch the Setup icon . Select Printer Maintenance, and then select Update the printer.
Web Services is turned on.
An HP OfficeJet Pro 9010, 9020, 9010e, 9020e, 8020e, or 8030e printer is selected in the HP Smart app and Sync my Shortcuts to my printer is turned on.

How do I save a Shortcut to another account on the same app?

Remove HP Smart Solutions from your cloud app account, and then create a Shortcut in HP Smart.

Box
1. Sign in to your Box account.
2. Go to Account Settings.
3. Select Security, and then select the x on the app name to forget the app.
4. Open HP Smart, and then create a Shortcut to another Box account.
Dropbox
1. Sign in to dropbox.com.
2. In the upper-right corner, select your profile picture or your initials.
3. Select Settings, and then select Connected apps.
4. Select the arrow next to the app you want to disconnect, and then select Disconnect.
5. Open HP Smart, and then create a Shortcut to another Dropbox account.
Evernote
1. From a web browser, sign in to your account.
2. Select Account Info, and then select Applications.
3. Select Revoke access.
4. Open HP Smart, and then create a Shortcut to another Evernote account.
Google Drive
1. Go to drive.google.com and sign in to your account.
2. Select the Settings icon , and then select Settings.
3. Select Manage apps.
4. Next to the app, select Options.
5. Select Disconnect from Drive.
6. Open HP Smart, and then create a Shortcut to another Google Drive account.
Quickbooks
1. From a web browser, sign in to your Quickbooks account.
2. Select Apps, and then select My apps.
3. Select the Action drop-down menu, and then select Disconnect.
4. Open HP Smart, and then create a Shortcut to another Quickbooks account.

How do I disable the Shortcuts tile on my HP Smart app?

Click Personalize Tiles (Android, iOS), Printer Settings (Mac), or click App Settings, and then click Personalize Tiles (Windows 10) to remove the Shortcuts option from your HP Smart app home screen.

How do I know that my Shortcut ran?

Review recent Shortcut activity in the HP Smart app. Shortcut activities are retained for one week.

Android, iOS: From the HP Smart app home screen, click the bell icon , select Activity, and then tap Shortcuts.
Windows 10 and Mac: From the HP Smart app home screen, click the bell icon , and then click Shortcuts.

How do I edit or delete Shortcuts?

Edit or delete Shortcuts in the HP Smart app.

Android: From the Shortcuts screen, tap the Settings icon , tap Edit, select a task, make any changes, and then tap Save. To delete a task, tap Delete.
iOS: From the My Shortcuts screen, tap Edit, select a task, make any changes, and then tap Done. To delete a task, tap Delete.
Windows 10 and Mac: From the Shortcuts screen, select a Shortcut, and then click Edit or Delete.
