HP LaserJet MFPs, HP PageWide MFPs, HP OfficeJet Enterprise MFPs - Duplicate FutureSmart 4 printer settings on another printer

Introduction

If you have more than one multi-function printer with FutureSmart firmware version 4.7 or newer, you can save time configuring the settings by copying some of the settings from one printer to another printer. Simply export the printer settings to a USB flash drive, and then use the flash drive to import the saved settings to another printer that also has FutureSmart 4 version 4.7 or newer. With this feature, you can duplicate the following settings:
  • Home Screen customization
  • Quick Sets (Exceptions: Quick Sets that are password-protected or configured for a feature not supported on the importing printer)
  • Contacts (local contacts, custom contacts, and fax speed dials)
  • Accounts and permissions (User Access codes)
note:
The printers do not have to be the same model, but both must be multi-function printers and have FutureSmart 4 firmware version 4.7 or newer.

The Import/Export feature is one of several new features available only in FutureSmart firmware version 4.7 or newer. Check your firmware version by printing a Configuration Page from the Reports app. If you have an older firmware version, upgrade your firmware to enable this feature and maximize your printer’s capability. For instructions to upgrade your firmware, go to support.hp.com and enter your printer model in the search box. On the resulting product support home page, select How to, and then from the Select a topic drop-down menu, select Printer Setup, Installation & Updates. In the resulting topics list, select the firmware update topic for your printer.

Before you begin

This procedure requires control panel sign-in with a User Access Code or an Administrator Access Code. Contact the printer administrator if you need assistance. If an administrator password has not been set up, use a web browser to open the printer’s Embedded Web Server (EWS) and create a password. For instructions, go to Printer security features.

Step one: Export the settings

Follow these steps to export printer settings to a USB flash drive:
  1. On the printer control panel, navigate to and open the Support Tools app.
  2. Select MaintenanceImport/Export.
  3. Select the Access Type to sign in with (User Access Code or Administrator Access Code).
  4. Enter the password, and then select Sign In.
  5. Select Export Files, and then in the right pane select the settings that you want to export:
    note:
    If any of the settings you want to export have been configured with a password, you must enter an Encryption Key if you want them included in the Export file.
    • Home Screen: Any home screen customization, plus any Quick Sets that have been configured (Exceptions: Quick Sets that are password-protected or configured for a feature not supported on the importing printer)
    • Contacts: Local contacts, custom contacts, fax speed dials
    • Accounts and permissions: User Access Code List
  6. Select Next.
  7. Insert a USB flash drive into the USB port near the control panel.
  8. Select Export. When the Export Complete dialog box displays the message, The export was successful, select OK.
  9. Remove the USB Flash Drive.

Step two: Import the settings

Follow these steps to import printer settings from a USB flash drive:
  1. On the printer control panel, navigate to and open the Support Tools app.
  2. Select MaintenanceImport/Export.
  3. Select the Access Type to sign in with (User Access Code or Administrator Access Code).
  4. Enter the password, and then select Sign In.
  5. Select Import Files, and then in the right pane under Import Files, select Choose.
  6. Insert the USB flash drive containing the exported settings into the USB port near the control panel.
  7. Select the export zip file from the list of files on the USB flash drive and then touch Select.
  8. Enter the Encryption Key if the export file was encrypted when it was created.
  9. Select the desired Contacts Import Method, and then select Import.
  10. When the Import Complete dialog box displays the message, The import was successful, select OK.
  11. Remove the USB flash drive.
