HP Officejet Pro 276dw Printer Series - Setting Up the All-in-One to Send and Receive Faxes

This document describes how to set up the HP product to send and receive faxes.
Before you begin
Before you set up your fax service, make sure that you complete the following tasks:
  • Install the cartridges
  • Load U.S. Letter or A4-size paper in the input tray
  • Get the telephone cord and adapter (if provided) that came in the box with the product
Step one: Identify the type of telephone system you use
Depending on your country/region, you have either a serial or parallel telephone system. The instructions for fax setup differ depending on whether you have a serial or parallel type phone system.
Do I have a serial or parallel phone system?
  • In a serial phone system, the connectors on your shared telephone equipment (modems, phones, and answering machines) do not allow a physical connection to the 2-EXT port on the HP product. Instead, you must connect all the equipment to the telephone wall jack.
  • The connectors on a parallel phone system are compatible with the product's 2-EXT port. You can connect shared telephone equipment directly to the product.
Check the following table for your country/region. If you do not see your country/region, you probably have a serial-type phone system. If you are unsure which kind of telephone system you have (parallel or serial), check with your telephone company.

In some countries/regions that use serial-type telephone systems, an adapter comes with the HP product.
The adapter allows you to connect other telecom devices to the telephone wall jack where you plug in the HP product. For more information, see the user guide that came with your product.
Step two: Set up the fax
  note:
Use the phone cord that came with your product to connect the product to the telephone wall jack. Otherwise, you might not be able to fax successfully. This special phone cord has only two copper wires. Replace any four-wire phone cord with a two-wire cord. If you have the cord that shipped with the HP fax product and it is long enough, use that cord.

Click the Plus sign (+) next to the type of telephone system you have, and then follow the steps to set up your HP fax product.
Parallel phone system
Follow these steps to identify your phone connection type, and then set up the product to send and receive faxes.
Step one: Identify your phone connection type
The method that you use to set up the fax on your product depends on the equipment and services you have installed on your phone system. Review the following types of equipment and service to determine which setup method to use.
  • Dedicated phone line: The HP fax product is the only piece of equipment or service connected to the phone line.
  • DSL: A digital subscriber line(DSL) service through your telephone company. (DSL might be called ADSL in your country/region.)
  • PBX: A private branch exchange (PBX) phone system or an integrated services digital network (ISDN) system.
  • Distinctive ring service: A distinctive ring service through your telephone company, which allows you to have several phone numbers on one phone line. Each number is assigned a different ring pattern. When the fax product detects a specified ring pattern, it answers the call and receives the fax.
  • Voice calls: You receive voice calls at the same phone number you use for fax calls.
  • Computer dial-up modem: You use your phone line to connect to the Internet through a dial-up connection.
  • Answering machine: An answering machine answers voice calls at the same phone number you use for fax calls.
  • Voice mail: A voice mail subscription service uses the same phone number as the fax.
Step two: Set up the HP product to send and receive faxes
Click the Plus sign (+) next to your connection type to set up your HP product to send and receive faxes.
Dedicated phone line
Follow these steps if the product uses a dedicated phone line.
  1. Unplug any telephone devices from the telephone wall jack you are connecting the product to.
  2. Connect the phone cord that came in the box with the product to the 1-LINE port on the rear of the product.
      note:
    Make sure that you use the phone cord that came in the box with the product to connect the product to the terminal adapter. If you do not, you might not be able to fax successfully.
      note:
    You might need to connect the phone cord to the adapter for your country/region that came with your product.
  3. Plug the other end of the phone cord that came with the product into the telephone wall jack.

  4. Set the HP product to Auto Answer so that the product answers fax calls automatically.
    1. On the product control panel, touch the Right Arrow.
    2. Touch Setup.
    3. Touch Fax Setup, and then touch Basic Fax Setup.
    4. Touch Auto Answer, and then touch On.
  5. Touch the Home icon to return to the main menu.
DSL line
To complete these steps, you must have a DSL filter and phone cord. You can obtain these items from your DSL provider.
  1. Obtain the following items:
    • A DSL filter and cord from your DSL provider

    • A parallel splitter, which has one RJ-11 port on the front and two RJ-11 ports on the rear

    • Extra 2-wire phone cords
  2. Connect the phone cord that came in the box with the product to the 1-LINE port on the rear of the product.
      note:
    Make sure that you use the phone cord that came in the box with the product to connect the product to the terminal adapter. If you do not, you might not be able to fax successfully.
      note:
    You might need to connect the phone cord to the adapter for your country/region that came with your product.
  3. Plug the other end of the phone cord that came with the product into the port on the DSL filter.
  4. Connect the cord on the DSL filter to the telephone wall jack.

  5. Set the HP product to Auto Answer so that the product answers fax calls automatically.
    1. On the product control panel, touch the Right Arrow.
    2. Touch Setup.
    3. Touch Fax Setup, and then touch Basic Fax Setup.
    4. Touch Auto Answer, and then touch On.
  6. Touch the Home icon to return to the main menu.
PBX phone system
Follow these steps to set up the fax on a PBX phone system.
  1. Make sure that the PBX converter/terminal adapter is set to the correct switch type for your country/region.
    If you do not know the switch type for your country/region, check with your local phone company.
  2. Connect one end of the phone cord that came in the box with the product to the 1-LINE port on the rear of the product.

    You might need to connect the phone cord to the adapter for your country/region that came with your product.
  3. Connect the other end of the phone cord that came in the box with the product to the port on the PBX converter/terminal adapter designated for phone and fax use.
ISDN phone line
Follow these steps to set up the fax on an ISDN phone system.
  1. Make sure that the ISDN converter/terminal adapter is set to the correct switch type for your country/region. If you do not know your country/region's switch type, check with your local phone company.
  2. Connect the phone cord that came in the box with the product to the 1-LINE port on the rear of the product.

  3. Connect the other end of the phone cord that came in the box with your product to the port on the ISDN converter/terminal adapter designated for phone and fax use.
Shared phone line with a distinctive ring service
Follow these steps to set up the fax on a shared phone line with a distinctive ring service.
Step one: Connect the phone cord
  1. Unplug any telephone devices that you have connected to the telephone wall jack.
  2. Connect one end of the phone cord that came in the box with the product to the 1-LINE port on the rear of the product.
      note:
    Make sure that you use the phone cord that came with the product to connect the product to the terminal adapter. If you do not, you might not be able to fax successfully.
      note:
    You might need to connect the phone cord to the adapter for your country/region that came with your product.
  3. Plug the other end of the phone cord that came with the product into the telephone wall jack.

  4. Set the HP product to Auto Answer so that the product answers fax calls automatically.
    1. On the product control panel, touch the Right Arrow.
    2. Touch Setup.
    3. Touch Fax Setup, and then touch Basic Fax Setup.
    4. Touch Auto Answer, and then touch On.
  5. Touch the Home icon to return to the main menu.
Step two: Change the distinctive ring pattern setting
By default, the product is set to answer all ring patterns. If you do not set the Distinctive Ring to match the ring pattern assigned to your fax number by your phone company, the HP product might answer both voice calls and fax calls, or it might not answer at all.
  1. On the product control panel, touch the Right Arrow.
  2. Touch Setup.
  3. Touch Fax Setup, and then touch Advanced Fax Setup.
  4. Touch Distinctive Ring, and then touch Yes.
  5. Touch the fax ring tone pattern assigned by the telephone company.
    • If you know the ring pattern that the telephone company assigned to your fax number, touch the matching ring pattern.
    • If you do not know the ring pattern assigned by your telephone company, touch Ring Pattern Detection, and then follow the on-screen instructions.
  6. Touch the Home icon to return to the main menu.
Shared voice/fax line
Follow these steps to set up the fax on a shared voice/fax line.
Step one: Connect the fax printer
  1. Unplug any telephone devices that you have connected to the telephone wall jack.
  2. Connect the phone cord that came in the box with the product to the 1-LINE port on the rear of the product.
      note:
    Make sure that you use the phone cord that came with the product to connect the product to the terminal adapter. If you do not, you might not be able to fax successfully.
      note:
    You might need to connect the phone cord to the adapter for your country/region that came with your product.
  3. Connect the other end of the phone cord that came with the product to the telephone wall jack.

  4. Remove the plug from the port labeled 2- EXT on the rear of the product.
  5. Connect the cord from the telephone to the 2-EXT port.

Step two: Turn Auto Answer off or on
If you want the product to answer fax calls automatically,
  1. On the product control panel, touch the Right Arrow.
  2. Touch Setup.
  3. Touch Fax Setup, and then touch Basic Fax Setup.
  4. Touch Auto Answer, and then touch On.
  5. Touch the Home icon to return to the main menu.
If you want to answer calls manually,
  1. On the product control panel, touch the Right Arrow.
  2. Touch Setup.
  3. Touch Fax Setup, and then touch Basic Fax Setup.
  4. Touch Auto Answer, and then touch Off.
  5. Touch the Home icon to return to the main menu.
Shared voice/fax line with an answering machine
Follow these steps to set up the fax on a shared voice/fax line with an answering machine.
Step one: Connect the fax printer
  1. Remove the plug from the port labeled 2-EXT on the rear of the product.
  2. Unplug your answering machine phone cord from the telephone wall jack.
  3. Connect the answering machine phone cord to the port labeled 2-EXT on the rear of the product.

      note:
    If you do not connect your answering machine directly to the HP product, your answering machine might record fax tones from a sending fax machine, and then the HP product might not receive faxes.
  4. Connect one end of the phone cord that came in the box with the product to the telephone wall jack.
      note:
    Make sure that you use the phone cord that came with the product to connect the product to the telephone wall jack. If you do not, you might not be able to fax successfully.

    You might need to connect the phone cord to the adapter for your country/region that came with your product.
  5. Connect the other end of the phone cord that came with the product to the port labeled 1-LINE on the rear of the product.

  6. Optional step: If your answering machine does not have a built-in phone, for convenience you can connect a phone to the rear of your answering machine at the OUT port.

Step two: Change the Rings to Answer setting to two rings more than your answering machine
  1. On the product control panel, touch the Right Arrow, and then touch Setup.
  2. Touch Fax Setup, and then touch Basic Fax Setup.
  3. Touch Rings to Answer.
  4. Touch the Up Arrow until the Rings to Answer setting is two rings more than your answering machine setting. For example, if your answering machine is set to answer on two rings, set the Rings to Answer setting to 4.
  5. Touch Done.
  6. Touch the Home icon to return to the main menu.
Step three: Turn on Auto Answer
  1. On the product control panel, touch the Right Arrow.
  2. Touch Setup.
  3. Touch Fax Setup, and then touch Basic Fax Setup.
  4. Touch Auto Answer, and then touch On. The product turns on Auto Answer, and then returns to the Basic Fax Setup menu.
Shared voice/fax line with voice mail
Follow these steps to set up the fax on a shared voice/fax line with voice mail.
  note:
You must be available to respond in person to incoming fax calls, or the product cannot receive faxes. You must initiate the incoming fax manually before voicemail picks up the line.
  1. Unplug any telephone devices that you have connected to the telephone wall jack.
  2. Connect one end of the phone cord that came in the box with your product to the telephone wall jack.
      note:
    Make sure that you use the phone cord that came with the product to connect the product to the telephone wall jack. If you do not, you might not be able to fax successfully.
      note:
    You might need to connect the phone cord to the adapter for your country/region that came with your product.
  3. Connect the other end of the phone cord that came with your product to the port labeled 1-LINE on the rear of the product.

  4. Turn off Auto Answer.
    1. On the product control panel, touch the Right Arrow.
    2. Touch Setup.
    3. Touch Fax Setup, and then touch Basic Fax Setup.
    4. Touch Auto Answer, and then touch Off.
  5. Touch the Home icon to return to the main menu.
Fax line with a modem
Choose from the following options to set up the fax on a fax line with a computer modem.
Option one: Connect to a dial-up modem on your computer
  1. Remove the plug from the port labeled 2-EXT on the rear of the product.
  2. Unplug the phone cord for your dial-up connection from the telephone wall jack, and then connect it to the 2-EXT port on the rear of the HP product.
  3. Plug the phone cord that came in the box with your product into the telephone wall jack.
      note:
    Make sure that you use the phone cord that came with the product to connect the product to the telephone wall jack. If you do not, you might not be able to fax successfully.
      note:
    You might need to connect the phone cord to the adapter for your country/region that came with your product.
  4. Connect the other end of the phone cord to the port labeled 1-LINE on the rear of the product.

Option two: Connect to a DSL/ADSL modem
  1. Obtain the following items:
    • A DSL filter from your DSL provider for every phone in your home

  2. Plug one end of the phone cord that came in the box with your product into the port labeled 1-LINE on the rear of the product.
      note:
    Make sure that you use the phone cord that came with the product to connect the product to the phone wall jack. If you do not, you might not be able to fax successfully.

    You might need to connect the phone cord to the adapter for your country/region that came with your product.
  3. Connect the other end of the phone cord that came with your product to the DSL filter.

  4. Connect the phone cord from the DSL filter to one of the dual ports on the parallel splitter.
  5. Plug one end of another two-wire phone cord into the single port of the parallel splitter, and then plug the other end of the phone cord into the telephone wall jack.

  6. Plug one end of a third phone cord into the other dual port on the parallel splitter.
  7. Plug the other end of the phone cord into the OUT port of the DSL/ADSL modem.
  8. Plug one end of another phone cord into the computer, and then plug the other end of the phone cord into the IN port of the DSL/ADSL modem.

  9. If your modem software is set to automatically receive faxes sent to your computer, turn off that setting.
  10. Set the HP product to Auto Answer so that the product answers fax calls automatically.
    1. On the product control panel, touch the Right Arrow.
    2. Touch Setup.
    3. Touch Fax Setup, and then touch Basic Fax Setup.
    4. Touch Auto Answer, and then touch On. Auto Answer turns on, and then the Basic Fax Setup menu displays again.
  11. Change the Rings to Answer setting to its lowest setting.
    1. On the Basic Fax Setup menu, touch Rings to Answer.
    2. Touch one of the arrows to change the setting to 2 , and then touch Done.
  12. Touch the Home icon to return to the main menu.
Voice/fax line with a computer modem
Choose from the following options to set up the fax on a voice/fax line with a computer modem.
Option one: Connect to a voice/fax line with a dial-up modem
Before you begin, check your computer to see if it has one or two phone ports.
  1. Obtain the following items:
    • A parallel splitter, which has one RJ-11 port on the front and two RJ-11 ports on the rear

    • Extra 2-wire phone cords
  2. Remove the plug from the port labeled 2-EXT on the rear of the product.
  3. Connect one end of a phone cord to the 2-EXT port on the rear of the product, and then connect the other end of the phone cord to the single port on the parallel splitter.
  4. Unplug the phone cord for your dial-up connection from the telephone wall jack, and then connect it to one of the dual ports on the parallel splitter. Make sure that other end of the phone cord remains connected to the computer.
  5. Connect the phone cord that is attached to the telephone to the other dual port on the parallel splitter.
  6. Plug the phone cord that came in the box with your product into the telephone wall jack.
      note:
    Make sure that you use the phone cord that came with the product to connect the product to the telephone wall jack. If you do not, you might not be able to fax successfully.
      note:
    You might need to connect the phone cord to the adapter for your country/region that came with your product.
  7. Connect the other end of the phone cord to the port labeled 1-LINE on the rear of the product.

  8. If your modem software is set to automatically receive faxes sent to your computer, turn off that setting.
      note:
    If you do not turn off the automatic fax reception setting in your modem software, the product cannot receive faxes.
  9. Program the fax product to answer calls either automatically or manually.
      note:
    If you set up the product to answer faxes manually, you must be available to respond in person to incoming fax calls or the product cannot receive faxes.

  10. Touch the Home icon to return to the main menu.
Option two: Connect to a voice/fax line with a DSL/ADSL modem
Step one: Connect the fax printer
  1. Obtain the following items:
    • A DSL filter from your DSL provider for every phone in your home

  2. Plug the phone cord that came in the box with your product into the DSL filter.
      note:
    Make sure that you use the phone cord that came with the product to connect the product to the DSL filter. If you do not, you might not be able to fax successfully.

    You might need to connect the phone cord to the adapter for your country/region that came with your product.
  3. Connect the other end of the phone cord that came with the product to the port labeled 1-LINE on the rear of the product.

  4. Plug the phone cord on the DSL filter into one of the dual ports on the parallel splitter.
  5. Plug one end of another 2-wire phone cord into the telephone wall jack, and then plug the other end of the phone cord into the single port of the parallel splitter.

  6. Remove the plug from the port labeled 2-EXT on the rear of the product.
  7. Connect one end of a phone cord into the 2-EXT port, and then connect the other end of the phone cord to the port on the telephone.

  8. Plug one end of another phone cord into a port on the DSL/ADSL modem, and then plug the other end into the other dual port on the parallel splitter.
  9. Plug one end of another phone cord into a port on the DSL/ADSL modem, and then plug the other end of the phone cord into the phone port on the computer.

  10. Attach a DSL filter to each phone in your home or office that answers the same phone number as the DSL service.

      note:
    Phones in other parts of the home or office that share the same phone number with the DSL service must connect to additional DSL filters to avoid noise when making voice calls.

Step two: Change Rings to Answer to its lowest setting
  1. On the product control panel, touch the Right Arrow.
  2. Touch Setup.
  3. Touch Fax Setup, and then touch Basic Fax Setup.
  4. In the Basic Fax Setup menu, touch Rings to Answer.
  5. Touch one of the arrows to change the setting to the lowest number of rings available, and then touch Done.
  6. Touch the Home icon to return to the main screen.
Shared voice/fax line with a computer modem and an answering machine
Choose from the following options to set up the fax on a voice/fax line with a computer modem and an answering machine.
Option one: Connect to a dial-up modem
  1. Remove the plug from the port labeled 2-EXT on the rear of the product.
  2. Disconnect the computer phone cord from the telephone wall jack, and then plug the phone cord into the port labeled 2-EXT on the rear of the product.

  3. Plug one end of the phone cord that came in the box with your product into the telephone wall jack.
      note:
    Make sure that you use the phone cord that came with the product to connect the product to the telephone wall jack. If you do not, you might not be able to fax successfully.

    You might need to connect the phone cord to the adapter for your country/region that came with your product.
  4. Connect the other end of the phone cord that came with your product to the port labeled 1-LINE on the rear of the product.

  5. Plug the phone cord from your answering machine to the port labeled OUT on the rear of the computer.
  6. Optional: If your answering machine does not have a built-in phone receiver, you can connect a freestanding phone to the rear of the answering machine at the OUT port.

  7. Set the feature on your modem software that allows your computer to automatically receive faxes to OFF, if it is not off already.
  8. Set the HP product to Auto Answer so that the product answers fax calls automatically.
    1. On the product control panel, touch the Right Arrow.
    2. Touch Setup.
    3. Touch Fax Setup, and then touch Basic Fax Setup.
    4. Touch Auto Answer, and then touch On. Auto Answer turns on, and then the Control Panel displays the Basic Fax Setup screen.
  9. Change the Rings to Answer setting to the maximum number of rings.
    1. Set your answering machine to answer after only two rings.
    2. On the HP product control panel, touch the Right Arrow.
    3. Touch Setup.
    4. Touch Fax Setup, and then touch Basic Fax Setup.
    5. In the Basic Fax Setup menu, touch Rings to Answer.
    6. Touch one of the arrows to change the setting to the maximum number of rings you hear before the product answers, and then touch Done.
  10. Touch the Home icon to return to the main menu.
Option two: Connect to a DSL/ADSL modem
  1. Obtain the following items:
    • A DSL filter from your DSL provider for every phone in your home or office

  2. Plug the phone cord that came in the box with your product into the port on the DSL filter, and then connect the other end of the phone cord to the port labeled 1-LINE on the rear of the product.

  3. Plug the phone cord from the DSL filter into one of the dual ports on the parallel splitter.
  4. Plug one end of a third phone cord into the telephone wall jack, and then plug the other end of the phone cord into the single port of the parallel splitter.

  5. Plug one end of another phone cord into a port on the DSL/ADSL modem, and then plug the other end into the other dual port on the parallel splitter.
  6. Plug one end of another phone cord into a port on the DSL/ADSL modem, and then plug the other end of the phone cord into the phone port on the computer.

  7. Remove the plug from the port labeled 2-EXT on the rear of the product.
  8. Unplug the phone cord for the answering machine from the telephone wall jack, and then connect the phone cord to the 2-EXT port on the rear of the product.

  9. Attach a DSL filter to each phone in your home or office that answers the same phone number that serves the fax product.

    Phones in other parts of the home or office that share the same phone number with the DSL service must connect to additional DSL filters to eliminate noise when making voice calls.
Voice/fax line with a computer dial-up modem and voice mail
Follow these steps to set up the fax on a voice/fax line with a computer dial-up modem and voice mail.
Dial-up Internet service: Since your computer dial-up modem shares the phone line with the product, you cannot use both your modem and the product at the same time. For example, you cannot use the product for faxing if you are using your computer dial-up modem to send an e-mail or access the Internet.
Voice mail: You cannot receive faxes automatically if you have a voice mail service on the same phone number you use for fax calls. You must receive faxes manually; this means you must be available to respond in person to incoming fax calls. If you want to receive faxes automatically, contact your telephone company to subscribe to a distinctive ring service or to obtain a separate phone line for faxing.
  1. Obtain the following items:
    • A parallel splitter, which has one RJ-11 port on the front and two RJ-11 ports on the rear

    • Extra 2-wire phone cords
  2. Remove the plug from the port labeled 2-EXT on the rear of the product.
  3. Plug one end of a 2-wire phone cord into the 2-EXT port on the rear of the product.
  4. Plug the other end of the 2-wire phone cord into the single port of the parallel splitter.
  5. Unplug the phone cord for the computer from the telephone wall jack, and then connect that end of the phone cord into one of the dual ports on the parallel splitter.
  6. Plug the phone cord that came in the box with your product into the telephone wall jack.
      note:
    Make sure that you use the phone cord that came with the product to connect the product to the telephone wall jack. If you do not, you might not be able to fax successfully.
      note:
    You might need to connect the phone cord to the adapter for your country/region that came with your product.
  7. Connect the other end of the phone cord that came with the product to the port labeled 1-LINE on the rear of the product.

  8. Plug one end of a phone cord into the second dual port on the parallel splitter, and then plug the other end of the phone cord into a telephone.

  9. Set the feature on your modem software that allows your computer to receive faxes automatically to OFF, if it is not off already.
  10. Turn off Auto Answer.
    1. On the product control panel, touch the Right Arrow.
    2. Touch Setup.
    3. Touch Fax Setup, and then touch Basic Fax Setup.
    4. Touch Auto Answer, and then touch Off. Auto Answer turns on, and then the Basic Fax Setup menu displays again.
    5. Touch the Home icon to return to the main menu.

Step three: Set the fax volume
Follow these steps to set the volume of the fax ringer.
  1. On the product control panel, touch the Right Arrow.
  2. Touch Setup.
  3. Touch Fax Setup, and then touch Basic Fax Setup.
  4. Touch the Down Arrow, and then touch Fax Sound Volume.
  5. Touch Soft, Loud, or Off.
  6. Touch the Back Arrow to return to the Fax Setup menu.
Step four: Set up the fax header
Use one of the following methods to set up the fax header. The header prints on the faxes that you send.
  1. On the Fax Setup screen, touch Basic Fax Setup.
  2. Touch Fax Header.
  3. Using the touch keypad, type your name or company name in the Enter your name: field, and then touch Done. A numerical keypad displays.
  4. Using the touch keypad, type your fax number in the Enter fax number: field, and then touch Done. The Basic Fax Setup menu displays again.
  5. Touch the Back Arrow to return to the Fax Setup screen.
Step five: Run a fax test
Run a fax test to make sure that the fax is set up correctly.
  1. On the Fax Setup menu, touch the Down Arrow, and then touch Tools.
  2. Touch the Down Arrow, and then touch Run Fax Test. The product displays the status of the test, and then prints a report.
  3. Wait while the product prints the Fax Test Report.
  4. Review the report.
    • If the report indicates the product passed the test and you still have problems faxing, check the fax settings listed in the report to make sure that the settings are correct. A blank or incorrect fax setting can cause problems with faxing.
    • If the report indicates the product failed the test, review the report for more information about fixing the problem.
