HP Web Jetadmin - Exporting Device Data

You can export the data in the current columns of a device list to a file. You can store the file on a drive or send the file in an email through SMTP. The data that you can export for a specific device depends on the device model and firmware version.

You can select one or more rows in a device list, and then copy the data for those devices. When you paste the copied data into another application, such as Microsoft Excel, the first row of the data is the column headings and the subsequent rows contain the data for the selected devices.

If you export complex columns in a device list, the following rules apply:

  • HP Web Jetadmin exports only the summary data displayed for complex columns in the device list. To export the details for a complex column, add a column for each individual subitem to the device list.

  • If a complex column contains a list of elements, the column typically has a subitem that represents the list. To export the entire list of elements, add a column for the subitem to the device list. In this case, the output is an XML fragment that contains an item tag for each element in the list. If the individual items are also complex, the XML fragment includes all of the item details. You cannot select the level of detail exported for each item.

  • Some complex items do not support selecting individual subitems for the export. In this case, the exported content is an XML fragment that includes all of the subitems instead of the summary displayed in the device list.

Use the following steps to export device data from a device list:

  1. Access any device list.

  2. Right-click anywhere in the list, and then select Export. The Export Devices wizard starts.

  3. From the Threshold drop-down list, select one of the following options to specify the type of data exported for the selected devices:

    • Database only: Export only device data from the HP Web Jetadmin database.

    • Missing items only: If data is not in the HP Web Jetadmin database, export data directly from the device.

    • From device only: Export data directly from the device.

    • 1 Hour: Export only data that is one hour old or older.

    • 3 Hours: Export only data that is three hours old or older.

    • 6 Hours: Export only data that is six hours old or older.

    • 24 Hours: Export only data that is 24 hours old or older.

  4. To export device data without prompting for credentials for each device, clear the Prompt for credentials check box.

  5. To limit the list of columns in the Available Columns section, select one of the following options from the Source drop-down list:

    • Favorites: Displays the most commonly used columns.

    • All: Displays all of the available columns, except obsolete columns.

    • Obsolete: Displays columns that are still available in HP Web Jetadmin, but have been replaced by new columns or will not be supported in the future.

  6. To include a column in the exported data, select the column from the Available Columns list, and then click the right arrow button

  7. To remove a column from the exported data, select the column from the Selected Columns list, and then click the left arrow button.

  8. To specify the order of the data in the exported file, select the column from the Selected Columns list, and then use the up arrow and down arrow buttons to move the column in the list.

  9. To schedule the export for a later time, select the Schedule device list export check box.

  10. Click the Next button. The Select devices page opens

  11. Select one of the following options:

    • To export only specific devices, select the devices from the Available devices list, and then click the right arrow button.

    • To export all of the devices, click the double right arrow button.

  12. Click the Next button. The Specify destination settings page opens.

  13. To specify the destination for the exported file, select one of the following options:

    • Local file: The exported data is saved in a local file. After the export begins, you are prompted for a file name.

    • Email: The exported file is sent to an email address. Enter one or more email addresses in the Send to field.

      If the SMTP server is not configured, click the SMTP server is not configured link. In the Options dialog box, specify the SMTP server settings, and then click OK.

      Tip:

      If you do not know the email address, click the Browse button. In the Select Email Address dialog box, select the email address from the Available addresses list, click the right arrow button, and then click OK.

    • Server file: The exported file is saved in the Export folder in the directory where HP Web Jetadmin is installed on the host.

      If a file with the same name exists in the Export folder, a time stamp is appended to the name of the exported file.

    • Database: The exported file is saved in Views in the HP Web Jetadmin database. Enter a file name in the View name field, and select the language for the heading information from the Language drop-down list.

      You can use any SQL Server tool or reporting tool to access Views in the HP Web Jetadmin database. You must purchase and install a license to use this option.

  14. To change the default file name, enter a new name in the Name field.

  15. To specify the format of the exported file, select the CSV or XML option.

  16. Click the Next button.

  17. If the Schedule device list export check box was selected, use the following steps to specify when the export occurs:

    Important:

    A scheduled task uses the date and time on the server where HP Web Jetadmin is installed. The location where the scheduled task runs might not be in the same time zone as the location where the HP Web Jetadmin server is installed. Consider the potential for date and time differences when scheduling tasks.

    Note:

    Scheduled tasks for exporting device data are displayed in the Devices - Scheduled Tasks task module on the Device Management > Overview page.

    1. In the Schedule name field, enter a name for this export.

    2. In the Start time fields, specify the date and time this export starts.

    3. In the Recurrence section, select the option that defines how often this export runs, and then specify the corresponding settings.

    4. Click the Next button.

    5. On the Confirm page, verify that the settings are correct, and then click the Create Schedule button.

    6. Continue with step 21.

  18. On the Confirm page, verify that the settings are correct, and then click the Start Export button.

  19. If the Local file option was selected for the destination, the Save As dialog box opens. Browse to the folder where you want to save the exported file, enter a file name in the File name field, and then click the Save button.

  20. (Optional) On the Progress page, click the Details button. Review the information, and then click the Close button.

  21. On the Results page, click the Done button.
