You can set up individual addresses in the Address Book and use these addresses when sending an email, fax using the printer's control panel or when using the SMB server or FTP server.
Creating and saving individual contacts in the printer
Follow these steps to save individual addresses on the printer's control panel for sending a fax and email:

From the Home screen on the printer control panel, touch the Machine Setup icon, and then select Application Settings.

Select the Address Book setting, and then select the New option.

Select the Name input box, and then type the name of the recipient.
note:
Check the favorite icon

for frequently used addresses. You can easily find
them from the search results.

Touch the Fax No input box and type the fax number using the numeric
keypad on the control panel.
note:
On some telephone systems, you must dial an access
code (9, for example) and listen for a second dial tone before dialing a number. In such cases, you
must insert a pause in the telephone number.

Touch the Email input box and type in the email address of the recipient.
note:
A Speed Dial No is automatically assigned with the first number of unused numbers. This number represents a recipient’s information.

Touch OK to save the information.
Storing contacts on the SMB or FTP server
note:
Administrators usually configure or set up addresses on the SMB or FTP server.
Follow these steps to save individual addresses on the SMB or FTB server:

From the Home screen on the printer control panel, touch the Machine Setup icon, and then select Application Settings.

Select the Address Book setting, and then select the New option.

Select the
SMB or
FTP individual icon

.

Select the Name input box, and then type the name of the recipient.
note:
Check the favorite icon

for frequently used addresses. You can easily find
them from the search results.

Touch the IP address or Host tab, select the IP address or Host input box, and then type the server address in dotted decimal notation or a host name.

Touch the Port No input box, and then type the server port number.
-
Touch the User Name input box, and then type the user name.

Touch the Password input box, and then type the password.
note:
To permit access for
unauthorized persons in SMB or FTP server, touch the Anonymous box. This box is unchecked by
default. If you checked the Anonymous box, see the next step (step 9).

Touch the
User Domain input box, and then type the domain name.
note:
If the SMB server entered is not registered on any domain, leave it blank
or enter the computer name of the SMB server.

Touch the Path input box, and then type the name of file folder where the
sent files are to be stored.
Example: /File Folder/

Touch the File Name input box, and then type the name of the sent file.

Use the arrow to select the Filing Policy.
If the server
has a file with the same name already, the file will get processed by
following the file policy you selected.

Change Name: The sent file is saved as a different file name that is
automatically generated.
-
Cancel: Does not save the sent file.
-
Overwrite: The sent file overwrites the existing file.

Select a
Folder Creation option.
note:
If the file folder has a sub-folder with the same name already, the printer will not create a sub-folder for the Use Login Name and Folder Creation Cycle options.

Use Login Name: Select this option to create a sub-folder
in the file folder you selected. The sub-folder name is the name entered in the User Name input box (in step 7)

Folder Creation Cycle: Set a cycle to create the sub-folder.
The printer creates the following sub-folder options:

Every Day: A sub-folder is created every day. The sub-folder
name format is YYYY-MM-DD (e.g. 2015-01-01).

Every Month: A sub-folder is created every month. The sub-folder
name format is YYYY-MM (e.g. 2015-01).
-
Every Year: A sub-folder is created every year. The sub-folder
name format is YYYY (e.g. 2015).

Create Folder For Multiple Files: If you select this option and
scan multiple files, the printer creates a sub-folder in the file
folder selected, and the sent files will be stored in the sub-folder.
If all folder creation options are enabled at the same time, the sent file(s) will
be stored in the following path:

For a single scanned file sent:
\\folder\user name\2015-01-01\DOC.jpg
-
For multiple scanned files sent:
\\folder\user name\2015-01-01\DOCJPEG\DOC000.jpg
\\folder\user name\2015-01-01\DOCJPEG\DOC001.jpg
\\folder\user name\2015-01-01\DOCJPEG\DOC002.jpg

Touch OK to save the information.
