HP Real Estate Document Assistant 2 - Version 2, Using and Managing Agent Profiles

Introduction
HP Real Estate Document Assistant saves you from retyping your name, address, phone numbers, and other information by saving it in your agent profile. It automatically enters your profile information in most template documents if you choose.
HP Real Estate Document Assistant also saves profiles for other agents, and allows you to manage and edit them. You can select any profile as the default profile to automatically add the information as you open a template that has profile fields (areas where profile information can automatically be added).
Adding and editing profiles
  1. To open the Edit Agent Profile dialog box from Microsoft® Word, click Add/Edit Agent Profile on the HP Real Estate Document Assistant toolbar, or click HP Real Estate Document Assistant from the Microsoft Word toolbar and then Add/Edit Agent Profile.

    You can also open the Edit Agent Profile dialog box in the HP Real Estate Document Assistant browser by clicking Agent Profiles on the browser toolbar and then Edit Agent Profile. If you then want to add an agent profile instead of edit one, click Add Agent Profile (see Figure 2). Then enter a name and complete the information screen.

    The first time you use HP Real Estate Document Assistant, it automatically creates a blank default agent profile named My Profile.

  2. To edit a profile, select the profile you want to edit from the Current Profile drop-down list.
  3. Click Manage Agent Profiles to manage your profiles.
  4. Click Add Profile to add a new profile.
  5. Select the Apply default profile to new documents without prompting check box to replace the profile fields with your default profile information automatically whenever you create a new HP Real Estate Document Assistant document that has profile fields.
  6. Select the Show Autocomplete dialog box if you want the application to prompt in case the profile being applied does not have images/logo associated with it. If the profile you selected does not have images/logo associated with it, a dialog as shown in Figure 4 will appear.

  7. To insert an image/logo in the profile while creating, click Add Logo, Portrait and Signature from the Edit Agent Profile window to find your logo, portrait, or signature image.
  8. Enter the profile information, then click OK to save the profile, or click Cancel to close the dialog box without saving the changes.
      note:
    If you set a blank profile as your default profile in the Edit Agent Profile dialog box, a dialog box appears asking you if you wish to change your default selection. Click Yes to go back to the Edit Agent Profile dialog box and select a different profile, or click No to save the profile information and close the Edit Agent Profile dialog box.

Applying profiles
The HP Real Estate Document Assistant profile function allows you to automatically apply your default profile information into templates and documents as they open in Word.
You can also apply a profile while editing a document or template, if you choose not to automatically apply the default profile as you open templates and documents. \
To apply a profile to a document or template:
  1. Click Apply Agent Profile on the HP Real Estate Document Assistant toolbar, or select the HP Real Estate Document Assistant and Apply Default Profile in the Word menu.

    Once a profile is applied to a document, you cannot apply a profile to it again. This is because the profile fields are removed from the document as the profile information is applied. If you try to reapply a profile to a document, a message box appears explaining that you can only apply a profile once for each new document.

  2. Click OK to close the message box and return to the document.
      note:
    You can also configure HP Real Estate Document Assistant to automatically apply the default profile without prompting while opening a document or template in any of the following ways:
    Select the Stop asking me; Apply default profile in future without prompting box in the Apply Agent Profile dialog box.
    Select the Apply default profile to new documents without prompting box in the Edit Agent Profile dialog box.
    Select the Apply default profile to new documents without prompting box in the Manage Agent Profiles dialog box.
    If any of the above boxes is selected, the default profile is applied directly, without showing the Apply Agent Profile dialog box, when the Apply Profile button (see Figure6) is clicked on the HP Real Estate Document Assistant toolbar.
When applying a profile, the profile fields are automatically replaced by the information in the profile. This saves you the trouble of retyping information.

Managing profiles
HP Real Estate Document Assistant allows you to maintain any number of profiles. In addition to maintaining many profiles, you can select any profile and set it as the default to apply to HP Real Estate Document Assistant templates.
To manage your profiles, follow these instructions:
  1. In Microsoft Word, click Add/Edit Agent Profile on the HP Real Estate Document Assistant toolbar, or click HP Real Estate Document Assistant and Add/Edit Agent Profile in the Word menu. In the Edit Agent Profile dialog window that appears, click Manage Agent Profiles.

    You can also open the Edit Agent Profile dialog box in the HP Real Estate Document Assistant Template Browser by selecting Agent Profiles and Manage Agent Profiles.

    This opens the Manage Agent Profiles dialog box.

  2. Click Add to add a new profile. This opens the Add Agent Profile dialog box.

  3. In the Add Agent Profile dialog box, enter a name for the new profile and click OK to go to the Edit Agent Profile dialog box. You can click Cancel to return to the Manage Agent Profile dialog box without creating a new profile.
      note:
    HP Real Estate Document Assistant enables you to copy information from an existing profile. To do this, select the profile that contains the existing information from the Copy fields from drop-down list.
  4. To delete the selected profile in the Manage Agent Profiles dialog box, click Delete. This opens a confirmation dialog box. Click Yes to delete the selected profile, or click No to return to the Manage Agent Profiles dialog box without deleting the selected profile.

      note:
    The profile that you have set as the default profile cannot be deleted. The Delete button is disabled if you select the default profile from the list in the Manage Agent Profiles dialog box.
  5. To rename a profile, select it from the list in the Manage Agent Profiles dialog box, and click Rename. This opens the Rename Profile dialog box. Enter the new name, and click OK to rename the selected profile, or click Cancel to return to the Manage Agent Profiles dialog box without renaming the selected profile.

    If you enter a profile name that already exists, a dialog box opens. Click OK to return to the Rename Profile dialog box, and enter another profile name.

  6. To make a profile the default profile to be applied to your templates, select it in the Manage Agent Profiles dialog box, and click Set as Default.
  7. To automatically enter default profile information into templates as they open in Microsoft Word, select the Apply default profile to new documentswithout prompting check box.
  8. Click Close to close the Manage Agent Profiles dialog box.

Setting logo, portrait, and signature settings to profiles
HP Real Estate Document Assistant keeps a record of your contact information called a profile, which it can automatically enter into the documents you create. You can include images of your logo, your portrait, and your signature in your profile to conveniently add to the professional look of your documents.
  1. To add images to your profile, click Add/Edit Agent Profile.

  2. Then click Add Logo, Portrait and Signature in the Edit Agent Profile dialog box.

  3. Click the Set Logo Image, Set Portrait Image, or Set Signature Image, buttons to open a window that will allow you to search for an appropriate image.
  4. You can click Clear in any of the profile image sections to remove the image from your profile.
  5. Click OK to save the changes.
Exporting and importing profiles
HP Real Estate Document Assistant can export profile information to a new location to preserve it in case something happens to the profile information that is saved in HP Real Estate Document Assistant. This will be useful if you ever choose to reinstall HP Real Estate Document Assistant or to install it on another computer. A profile import function adds previously exported profiles to HP Real Estate Document Assistant.
Profile information that you enter is saved when you click OK on the Edit Agent Profile dialog box. However, only the HP Real Estate Document Assistant profile export feature serves to create backup profile information. You can use the Import Profile feature as a means to restore exported profiles.
You may wish to backup Agent Profile information, including the logo, portrait, and signature images to avoid having to reenter it, for instance, if you want to install HP Real Estate Document Assistant on another computer or if you want to reinstall the product on your system.
  note:
You can import or export your profile information between operating systems. For instance: if you are using HP Real Estate Document Assistant on a Windows 98 PC, you can export a profile for use on a Windows 2000 PC.
Export options
You can export all agent profile information, including your logo, portrait and signature images, to a file separate from HP Real Estate Document Assistant:
  1. Click Options and Import/Export Agent Profiles in the menu at the top of the HP Real Estate Document Assistant browser window.

  2. Click Export Profile. The Browse for Folder dialog box will appear. Browse for the folder where you want to save your profiles, then click OK.

Once the information is successfully exported, a dialog box will appear informing you that the profile settings and the associated images are successfully exported.

A folder named HP Real Estate Profiles will be created at the location where you saved your profile information.
The HP Real Estate Profiles folder contains a subfolder for each individual profile that was in HP Real Estate Document Assistant at the time of export.
Each subfolder is named for its corresponding profile, and it contains the logo, portrait, and signature images for the profile along with a file named HP Real Estate Profiles.prfl, which contains the profile information.
Import options
HP Real Estate Document Assistant enables you to import (previously exported) agent profiles including the logo, portrait, and signature images. To do this, follow these instructions:
  1. Select the Agent Profiles and Import/Export Agent Profiles option in the menu bar at the top of the HP Real Estate Document Assistant browser window. An Import/Export Agent Profiles dialog box will appear.

  2. Click Import Agent Profile on the Import/Export Profiles dialog box. The Browse for Folder dialog box will appear.

  3. Browse for the HP Real Estate Profiles folder from which you want to import profile information, then click OK.
Once the information is successfully imported, a dialog box will appear informing you that the profile(s) are successfully imported.
