HP Smart Pro is a solution that helps you digitize, organize, and streamline your most common and repetitive tasks in the HP Smart app.
During the setup process, eligible customers who set up their HP LaserJet Pro 3000 or 4000 series printers under a company, will be entitled to use HP Smart Pro features.
Currently access to all HP Smart settings might not be available in all mobile devices and might vary in countries/regions.
Accessing HP Smart Pro

Open HP Smart from your computer or mobile device.

Log in to your HP account to access the HP Smart Admin dashboard.
Note:The HP Smart Admin dashboard is available for HP+ and Standard cloud-connected printers. It is a centralized web portal for printer administrators to manage supported printers, users, solutions and service subscriptions associated with their business.

On the left navigation pane, select Solutions, and then click HP Smart Pro.

HP Smart Pro provides the following scan setting shortcuts when setting up files to cloud destinations:

Scan multiple items, a book, or an ID card

Multi-Item Recognition
Use the Multi-Item Recognition feature to scan multiple items at one time, and then save the scan as a single file or separate files.
The Multi-item setting is available in your HP Smart app when scanning from the printer's scanner glass or a mobile device camera.

Place two or three different items such as business cards, receipts, documents, or photos on your printer's scanner or capture them within your camera frame.
To scan from the scanner glass: Open the scanner lid, place the document for scanning on the scanner glass, and then close the scanner lid.
Make sure to place the items for scanning on a flat surface when using the mobile device camera.

Book scanning
Use the Book Scanning feature to scan an open book and then save the scans as a single file or separate files.
Book Scanning feature is available in your HP Smart app when scanning from the printer's scanner glass or your mobile device camera.

Place the pages of an open book face down on the scanner glass and press firmly the scanner cover, or place an open book on a flat surface to capture them from a camera.
To scan from the scanner glass: Open the scanner lid, place the document for scanning on the scanner glass, and then close the scanner lid.
Tip:-
For books: Align the book spine on the scanner bed perpendicular to the scanner sensor bar.

For magazines or thin books: Align the spine of a thin book (magazine, for example) perpendicular to the scanner sensor bar. Position the book spine near the edge of the scanner lid.

ID Card Scanning
Use the ID Card Scanning feature to scan the front and back of an ID card, and then save the scans as a single file.
ID Card Scanning feature is available in your HP Smart app when scanning from the printer's scanner glass or your mobile device camera.

Place the front of the ID card on the scanner glass, or place the front of the ID card on a flat surface to capture it from a camera.
To scan from the scanner glass: Open the scanner lid, place the document for scanning on the scanner glass, and then close the scanner lid.
Tip:Position the ID card near the icon at the back left corner, and slightly away from the edges of the scanner glass.

Auto Heal
Use the Auto Heal feature to remove distracting marks, such as hole-punch marks or hand marks from a scan.
Conditions when the hole-punch marks cannot be removed from a scanned file:
-
The hole-punch marks are not aligned along the document edges and is not clearly visible.
-
The hole-punch pattern does not match any of the following standards: ISO 838, A4 European 4 ring, or US 3 rings.
-
The size and paper does not support the size and paper specified for the printer.
Enable the Auto Heal feature

Place a page on the scanner glass or on a flat surface to capture it from a mobile device camera.
Tip:When scanning using a mobile device camera, center the content so that the text appears within the camera frame.

Open the HP Smart app, and then scan a document or photo.

On the Preview window, click Save or Share.

Select a file format to save the file from the File Type drop-down list.

Searchable PDF: Allows a user to search content and retains the formatting and graphics.

Make sure to note the location of the saved file.

Open the HP Smart app, and then scan a document or photo.

On the Preview window, save or share the file.

Android: Tap Save or Share.

Select a file format to save the file from the File Type drop-down list.

Edit scanned pages
Learn about the Text Extract, Scribble, and Manual Redaction features in HP Smart Pro.
Text Extract
After scanning pages, use the Text Extract feature in the Preview screen to extract text from a file, and then save or share the file.

Open the HP Smart app, and then scan a document using your desktop or mobile phone.
-
In the Preview screen, click Text Extract.
-
Select the language of your document, and then click or tap Continue.

Wait for the text extract to complete.
Note:The scan will be converted into an editable text file.

On the Text Edit screen, copy all the content or select the content in the text to copy.

To copy all the content, select the Copy All button in the lower right of the screen.

To copy an area of interest, select to highlight the content, and then select Copy.

Click or tap Done to view the scan in the Preview screen.

Save or share the file.
Scribble
Use the Scribble feature in the Preview screen to create a signature on selected pages, and then save the file.

Open the HP Smart app, and then scan a document using your desktop or mobile phone.
Make sure that your content is within the camera frame when scanning using a mobile phone.

In the Preview screen, click or tap Scribble.

Click or tap Add a New Mark.

Draw your signature using a mouse, or finger, or stylus on the line guide.

Adjust the weight of your signature using the options below on the screen.

Click or tap Done when finished.

Scale your document to easily place your signature.

Manual Redaction
Use the Manual Redaction feature in the Preview screen to remove or redact sensitive text or images in a document.
The Manual Redaction feature permanently deletes the selected text or images selected from the document.

Open the HP Smart app, and then scan a PDF document using your desktop or mobile phone.
Make sure that your content is within the camera frame when scanning using a mobile phone.

In the Preview screen, click or tap Manual Redaction.

Select the language of your document from the drop-down list, and then click or tap Continue.

Wait for processing to complete and prepare a file.

Select the desired areas or large areas of text or images for redaction.

To redact multiple areas of text or images at one time: Hold and drag your mouse to select the areas for redaction.

To select a large area of text to redact: Use the mouse and drag the mouse to select the desired areas outside the text, and then release the mouse.
The text for redaction will appear in gray color.

After completing redaction, click or tap Done.

When a dialog prompt displays, Are you sure you want to delete?, select Done.
Note:All the text selected for redaction will change from gray to black color.

Set up a password for PDF files
Learn how to enhance the security of scanned PDF files by adding a custom password using the HP Smart app.
Add Password Protection
After saving a scanned PDF file, use the Add Password Protection feature in the Preview screen to prevent users from modifying the file.

Open the HP Smart app, and then scan a PDF document that requires a password using your desktop or mobile phone.
-
In the Preview screen, save the scanned file.
-
Windows or Mac: Click Save.
-
Android: Tap Save.
-
iOS: Tap Share/Save.

Select Basic PDF from the File Type drop-down list.
-
Select the language of the document from the Document Language drop-down list.
-
Set the Add Password Protection toggle button to on to enable the password setting.
-
Enter a password.
The password must be between 6 and 32 characters. You can use letters, numbers, or symbols for a password.

Click Save or tap Save or Share/Save.
After entering the correct password, users can open a password protected PDF in HP Smart or the PDF application of their choice. HP Smart is not required but will be supported in Android, iOS, Windows and Mac.
Note:If a user enters an invalid password for a password protected PDF, a warning prompt displays for a valid PIN.
Advanced shortcuts for business
HP Smart Pro offers scan destinations to create shortcuts to quickly complete repetitive tasks such as sending an email or uploading files to the cloud. You can also access these shortcuts from the printer's control panel.

To access Shortcuts from HP Smart, open the HP Smart app, and then select the Shortcuts tile on the Home screen.

To use the advanced shortcut capabilities. access the Manage Scan Destinations on the HP Smart Admin dashboard.
Scan Destinations
The Scan to Email and San to Cloud scan destination settings in HP Smart Admin dashboard provides users more storage location options when sending an email or saving a file to cloud.
Scan destinations are similar to Quick Sets. When enabling Scan Destinations, you can use the features of Quick Sets but not the Scan to Email and Scan to SharePoint Quick Sets on the printer control panel.
Create and use a Scan to Email shortcut
Learn how to create a Scan to Email scan destination shortcut on selected printers in the HP Smart Admin dashboard, and then access the shortcut on the printer control panel.
Follow the steps in the order presented.
Step one: Select a printer
Learn how to select a printer for creating a scan destination shortcut using the HP Smart Admin dashboard.

On your computer, open a Web browser and go to hpsmart.com/admin.
-
Log in with your HP ID account or the account connected to the printer created when setting up the printer.
This account is created when the printer is set up for onboarding to HP Cloud services.

Enter your email address (or username) and click Next.
-
Enter your password, and then click Sign In.
-

In the left navigation pane, click Printers.
-
Select a printer to setup the scan destination.

Step two: Add settings for the Scan to Email shortcut
Learn how to configure the scan destination settings in Scan to Email.
If you are setting up scan destinations for the first time, a warning message Enable Scan Destinations displays. When scan destinations is enabled, it will overwrite the existing scan features setup by Quick Sets.

On the selected scan destination printer page, scroll to the Settings section to view the Scan to Email setting under Scan.
-
If the scan destinations setting is not set up, Setup displays in Scan to Email.
-
If the scan destinations setting is set up, Manage displays in Scan to Email .

Click the Setup button.
If a warning message Enable Scan Destinations displays, click Continue to enable scan destinations.
Note:Enabling Scan Destinations, will overwrite existing Scan to Email and Scan to SharePoint setup of Quick Sets.

Enter a scan destination shortcut name to display on the printer control panel.

In the Edit Email Information area, enter the email address, subject, and message.

Enter the recipient's (or recipients) email address in the To field.

Enter a subject in the Subject field.

Enter a message in the Message Body field.

Select a file type from the File Type drop-down list.

Enable or disable the Security PIN toggle button.

Note:If the Security PIN setting is enabled, a user must enter the correct pin to access the shortcut.
To enable the security PIN, follow these steps:

Select the Security PIN toggle button to enable the setting.

Enter a 8-digit security pin.
Note:The PIN cannot be a sequence of ascending or descending numbers.

Re-enter the 8-digit pin in the Confirm security PIN.

Click Save to save the shortcut.
Step three: Manage a scan destination shortcut
Learn how to edit and delete a scan destination shortcut.
To edit the scan destination shortcut settings from the selected printer page, click Manage.

Step four: Access the Scan to email shortcut on the control panel
After creating a scan destination shortcut in HP Smart Admin dashboard, use the following steps to access the Scan to Email shortcut on the printer control panel.

From the Home screen on the printer control panel, touch the Scan icon, and then touch E-mail.

Select the desired shortcut created using HP Smart Admin dashboard.
If the Security Pin is enabled in HP Smart Admin dashboard, enter the PIN and touch Done.

Modify the settings in Scan Settings, such as paper size and scan resolution.
Note:If File Type setting is set up in HP Smart Admin dashboard, the setting cannot be changed on the control panel. To change the setting, go to the HP Smart Admin dashboard.

A compatible operating system and version of HP Smart. Use the following table to view the HP Smart versions for each operating systems.

All eligible customers who set up their HP LaserJet Pro 3000/4000 series printer under a company will be entitled to HP Smart Pro.
Create or log in to your HP account to redeem the solution. To learn more about HP Smart Pro features:

Go to HP Smart ADMIN dashboard and select Solutions.

Scroll to HP Smart Pro section, and then click the link Discover All features.
View the list of features in the HP Smart Pro page.

- If I own multiple HP printers, can I sign up for redeem this solution multiple times?

HP Smart Pro can be associated with your admin account, even if your company owns more than one printer.
- Can I share my HP Smart Pro solution offering or use it on other printers in organization?

Yes. The solution is associated with your organization's HP admin account. You can use HP Smart Pro on other eligible printers in your account. You may share HP Smart Pro solution with unlimited users in your organization.
