HP Digital Sender Flow 8500 fn2 Document Capture Workstation - Adding shared folder and other information to contacts using the Embedded Web Server (EWS)

An address book is a stored list of frequently used contacts for quick selection when sending a document from the control panel. By using the Address Book Import/Export functionality, you can add additional information, such as shared folders, to Address Book contacts in FutureSmart 4 products.

Step one: Access the HP Embedded Web Server (EWS)

Follow these steps to get the IP address or host name:
  1. From the Home screen on the HP Digital Sender Flow 8500 fn2 Document Capture Workstation control panel, touch the Information icon, and then touch the Network icon to display the IP address or host name.
  2. Open a Web browser on a computer, and in the address line, type the IP address or host name exactly as it displays on the scanner control panel. Press the Enter key on the computer keyboard. The EWS opens.

    note:
    If the Web browser displays a message indicating that accessing the website might not be safe, select the option to continue to the website. Accessing this website will not harm the computer.

Step two: Export and update the scanner address book

The export of records saves email, fax, or user records from the HP Digital Sender Flow 8500 fn2 Document Capture Workstation into a comma-separated value (CSV) file on a computer. The CSV format is a common data format that is often used to transfer data between database programs and products.
When you have generated the CSV file, add related information, such as shared folders, to contacts.
  1. Using the top navigation tabs in the EWS, click Scan/Digital Send.
  2. In the left navigation pane, click Contacts.
  3. Under the Manage Address Books heading in the right pane, click the Export button.

  4. Select the check boxes next to the objects you want to export. If the file was encrypted, enter the encryption key. The following choices area available:
    • Address Books
    • Fax Speed Dials
    • User Access Code List
  5. Click the Export button in the lower-right corner of the page.
  6. Click the CSV file that appears in the lower-left corner to open.
  7. In the CSV file, add the desired information to the appropriate columns.
    Possible additions:
    • NetworkFolderPath
    • FtpServer
    • AuthDomain/ UserName/ Passwords
    • ChildContacts
    • AccessCode
  8. Save the edited file.

Step three: Import the updated address book

  1. Using the top navigation tabs in the EWS, click Scan/Digital Send.
  2. In the left navigation pane, click Contacts.
  3. Under the Manage Address Books heading in the right pane, click the Import button.
  4. Click the Import button under Contacts Stored on the Device, and then navigate to the file. If the file was encrypted, enter the encryption key.
  5. Select the file and click the Open button
  6. Click the Import button in the lower-right corner to import the data file to the HP Digital Sender Flow 8500 fn2 Document Capture Workstation. The import process will take approximately 1 minute for each 1,000 records, depending on the network speed.
    When the import process is complete, a message displays indicating how many records were successfully imported and whether there were any import errors.
