HP All-in-One and Fax Product Family - Interpreting Error Codes in Fax Communication Error or Fax History Reports

This document applies to HP fax machines and printers with fax capability that display or print an error code when a fax fails.
A fax communication error report or fax history report might contain error codes to help you diagnose fax issues. You can find the error code definitions and solutions in the tables at the end of this document.
The following list contains troubleshooting tips you can try to resolve errors. If errors occur every time a fax is sent or received, there might be more important communication issues. For more helpful information about troubleshooting fax issues seeTroubleshooting Fax Transmission and Reception Issues (in English).
Check the following items:
  • Make sure that you have plugged the phone cord directly and securely into the wall jack and into the back port of the fax product. The fax port on your product is marked "Line," "To Wall Jack," or with a wall jack symbol.
  • Make sure the Line Interface Unit (box that the phone cord plugs into) is fully seated into the back of the fax product.
  • Remove any other devices from the line such as splitters, credit card machines, or telephone answering machines.
  • Try sending and receiving faxes on a different fax line.
  • Try using a different telephone cord.
  • Have the phone company test your line for static or noise problems.

Interpreting fax receive error codes
The following tables contain fax receive error codes. An error code can have more than one definition (cause), and more than one solution.

The local machine answered a call, but is unable to detect the presence of a calling fax machine. Typically this is because the local fax machine answered a voice call.
Confirm that the remote caller is a fax machine and not a voice call.
The remote user canceled the fax transmission by pressing the Stop key immediately prior to, or just as the local machine answered the call.
If the remote machine ends the call just as the local machine starts reception, reduce the ring count on the local machine answering setting. As an alternative, suggest that the sender manually fax the document.
The receiving fax machine is an older silent fax machine. Try turning on Silent Detect in the Fax settings.
Confirm that the sender is not inadvertently attempting to poll the local machine for a document, instead of sending to the local machine.
The remote machine automatically ended the call immediately before, or just as the local machine answered the call.
Select a slower reception speed.
The remote (calling) fax machine determined that there was a feature incompatibility between the two machines. The remote machine disconnected immediately before sending any further fax tones or T.30 frames. This situation occurs rarely.
Reconfigure the local fax machine to use different configuration settings, enable or disable the ECM setting.

The local machine was unable to receive an entire page even after multiple attempts to receive the parts of the page that contain errors. This situation is usually due to extremely poor line conditions.
Try to receive the fax when telephone line conditions have improved
Disable ECM. Errors could still occur, and might result in degraded image quality on the received page. However, the ability to receive the entire document will improve.
Select a slower reception speed.

Remote diagnostics cannot occur between machines with incompatible remote versions. Ask the sender to remove the fax number from the diagnostic check.

Ask the sender what speed the fax machine is using to send, and then reconfigure the local machine to receive at that speed, if possible. Otherwise, ask the sender reconfigure the remote machine to send at a compatible speed.

Confirm that the remote user wants to initiate a poll transmission. It is possible that the remote user inadvertently attempted to poll. If this is the case, ask the sender to retry a normal transmission from the remote machine.
If you want remote polling, confirm that you have correctly configured the local machine for poll transmission.

Confirm that the remote user has the correct password, and that the local machine is configured with the same password, if this option is available.

If the error persists, and error correction is in use for the fax session, disable ECM. Fax quality might be degraded.
The user at the remote machine might have pressed the Stop key.
Set the host machine to receive at a slower transmission speed.
The call waiting service can cause this error. The click, heard for an incoming call, is actually a momentary disconnect of the line. Do not use call waiting on a line with a fax machine.
Retry the fax reception when telephone line conditions have improved. Call the telephone provider if line conditions fail to improve. These errors can occur if the phone lines in the area to be faxed are old or there is noise (static on the phone line). Other reasons can include power brownouts and other power-related problems.
The power at the remote machine was interrupted, or deliberately turned off causing the fax session to be interrupted.

If ECM is enabled, then disable it.

The remote fax machine is attempting to receive instead of send. Both machines have attempted to start a reception at the same time. On many fax machines, it is possible to accidentally initiate a fax reception in the following cases:
  • There is no paper in the machine.
  • The paper is not correctly loaded and the document sensor cannot sense it.
Contact the sender to make sure that a document is ready and correctly loaded in the sending fax machine. Also make sure that the remote machine is attempting to initiate a transmission and not a reception.

The local machine held the remote machine during reception of a large or complex document due to lack of available memory. This hold time exceeded the timeout (typically 60 seconds) used by the remote machine, and it terminated the session.

Turn both the sending and the receiving machine off for ten seconds, turn them on, and then try sending again.
If faxes are successfully sent to and received from other machines, but not this particular remote machine, then the issue is probably a problem with the remote machine.

Note the remote machine's number and any fax information. Turn the power off to the product for 10 seconds, then turn the power back on. Ask the remote machine user to resend the fax.
Ask the remote machine user to send at a lower resolution setting.
If it still fails, try receiving a fax from another machine.
If the local machine consistently gives this error code from different fax numbers, then the issue is probably hardware related and the machine should be replaced or serviced.

  • The user called the wrong number.

  • The remote machine temporarily disabled answering due to a condition such as lack of paper or a paper jam.
Confirm that the remote fax machine is ready to receive a document, and then try sending the fax again.

This error is very rare because normally a remote machine will not answer if it cannot receive a document. One of the few exceptions to this would occur if the remote machine was configured to poll transmit a document, but was unable to receive.
Configure the remote machine for reception. The remote user should make sure paper is loaded in the machine, paper jams are fixed, and any error messages are cleared.
