Setting Up the All-in-One to Send and Receive Faxes

This document is for the HP Officejet Pro 251dw, 276dw, and 8600 printers.
This document describes how to set up your HP printer to send and receive faxes.
Step 1: Set up the printer
Before you set up your fax service, follow these steps to set up your printer.
  1. Set up the hardware and install the cartridges. Click here for instructions on setting up the printer hardware.
  2. Load U.S. Letter or A4-size paper in the input tray.
  3. Get the telephone cord and adapter (if provided) that came in the box with the printer.
Step 2: Identify the type of telephone system you use
Depending on your country/region, you have either a serial or parallel telephone system. The instructions for fax setup differ depending on whether you have a serial or parallel type phone system.
  • Do I have a serial or parallel phone system?
    • In a serial phone system, the connectors on your shared telephone equipment (modems, phones, and answering machines) do not allow a physical connection to the 2-EXT port on the HP printer. Instead, you must connect all the equipment to the telephone wall jack.
    • The connectors on a parallel phone system are compatible with the printer's 2-EXT port. You can connect shared telephone equipment directly to the printer.
    Check the following table for your country/region. If you do not see your country/region, you probably have a serial-type phone system. If you are unsure which kind of telephone system you have (parallel or serial), check with your telephone company.

    In some countries/regions that use serial-type telephone systems, an adapter came with the HP printer. The adapter allows you to connect other telecom devices to the telephone wall jack where you plug in the HP printer. For more information, see the user guide that came with your printer.
Step 3: Set up the fax
Important: Use the phone cord that came with your printer to connect the printer to the telephone wall jack. Otherwise, you might not be able to fax successfully. This special phone cord has only two copper wires. Replace any four-wire phone cord with a two-wire cord. If you have the cord that shipped with the HP fax printer and it is long enough, use that cord.

Click the Plus sign () next to the type of telephone system you have, and then follow the steps to set up your HP fax printer.
Step 4: Set the fax date and time
Follow these steps to set or change the date and time.
  1. On the printer control panel, touch the Right Arrow (), and then touch Setup ().
  2. Touch the Down Arrow (), and then touch Preferences.
  3. Touch Date and Time:, touch the Up and Down Arrows to set the month, day, and year, and then touch Done.
  4. Touch the Up and Down Arrows to set the time, touch Done, and then touch the Return Arrow () to return to the Preferences menu.
Step 5: Set the fax volume
Follow these steps to set the volume of the fax ringer.
  1. On the printer control panel, touch the Right Arrow ().
  2. Touch Setup ().
  3. Touch Fax Setup, and then touch Basic Fax Setup.
  4. Touch the Down Arrow (), and then touch Fax Sound Volume.
  5. Touch Soft, Loud, or Off.
  6. Touch the Back Arrow () to return to the Fax Setup menu.
Step 6: Set up the fax header
Use one of the following methods to set up the fax header. The header prints on the faxes that you send.
  1. On the Fax Setup screen, touch Basic Fax Setup.
  2. Touch Fax Header.
  3. Using the touch keypad, type your name or company name in the Enter your name: field, and then touch Done. A numerical keypad displays.
  4. Using the touch keypad, type your fax number in the Enter fax number: field, and then touch Done. The Basic Fax Setup menu displays again.
  5. Touch the Back Arrow () to return to the Fax Setup screen.
Step 7: Run a fax test
Run a fax test to make sure that the fax is set up correctly.
  1. On the Fax Setup menu, touch the Down Arrow (), and then touch Tools.
  2. Touch the Down Arrow (), and then touch Run Fax Test. The printer displays the status of the test, and then prints a report.
  3. Wait while the printer prints the Fax Test Report.
  4. Review the report.
    • If the report indicates the printer passed the test and you still have problems faxing, check the fax settings listed in the report to make sure that the settings are correct. A blank or incorrect fax setting can cause problems with faxing.
    • If the report indicates the printer failed the test, review the report for more information about fixing the problem.
